Job Description


The Iowa Department of Natural Resources is seeking an energetic, independent, self-starter to serve as the Department’s Central Office Building and Supply Coordinator.


This position has primary responsibilities of ordering and maintaining inventory of all standard supplies and specialty office items for the Department’s Central Office. This work involves obtaining bids and pricing estimates from vendors, coordinating deliveries, completing payments and managing stock levels to ensure adequate inventories are maintained to meet business needs.


Main Responsibilities Will Also Include


  • Provide coordination of Departmental building issues at the Wallace State Office Building. This work includes management of access keys, verification and reporting of building maintenance issues, management of leased space and coordination of office modifications, including cubicle components and electrical and voice/data changes. The position manages coordination of vendor bids, design changes, product orders, installation services and payment of invoices.
  • Maintain the Central Office Storeroom and ensures supplies and regulations/brochures are available to DNR staff and licensing vendors; makes brochures available for the general public and stakeholders upon request; orders and provides office supplies, paper, state forms, and envelopes to internal and external staff; maintains a database of supplies and forms; and picks up and delivers supplies, equipment, and other items from across the Capitol Complex.
  • Be the primary coordinator for the sale of surplus equipment and supplies through the Gov Deals Internet sales site. This work includes the posting of sale items; tracking and responding to bidder inquires; coordinating pick up of items and processing of final bills of sale.
  • Manage all Central Office copier, printer and fax service agreements. This work includes coordinating with approved vendors to obtain cost estimates and/or bids for equipment or lease services; maintaining lease and service/maintenance agreements; making recommendations to management for equipment replacement; and coordinating payments of lease agreements and service contracts.


Other position duties include coordination of the following: miscellaneous bulk mailings, paper shredding services, photocopy and fax machine paper supply and distribution, toner cartridge collection and recycling, Capital Complex courier services for the Department, State Fair building supply set up and deliveries, and operation and maintenance of an assigned state vehicle.


Essential Functions


  • Reviews bids and work estimates from vendors and uses established procedures and guidelines for selection process.
  • Couriers correspondence and delivers and picks up items from remote locations using a state vehicle.
  • Uses materials handling equipment such as dollies, scales, hand trucks and pallet jacks to transport materials.
  • Uses computer databases and programs to solicit bids, maintain contracts and pay invoices.
  • Uses computer for correspondence, ordering supplies and maintaining inventories.
  • Places boxes of materials weighing up to 50 pounds on shelves, some below the knees, and some above the shoulders and the head.
  • Uses basic arithmetic calculations involving addition, subtraction, multiplication and division to complete daily work.
  • Lifts and moves boxes and equipment up to 50 pounds for prolonged periods on a recurring basis.

The starting salary for new state (Executive Branch) employees is expected to be at the base of the pay range. Additional salary increases may occur after the first six months, and then annually (if applicable). Minimum Qualification Requirements


Graduation from high school, or G.E.D., and experience equal to four years full-time work in the procurement of standardized, expendable/non-expendable items;


OR


graduation from an accredited four-year college or university with a bachelor's degree in business or public administration, accounting or economics;


OR


an equivalent combination of education and experience substituting one year of the required experience for each year (30 semester hours or one year) of the required education.
