Position Description
The Faculty of Arts and Sciences Registrar’s Office (FAS RO) supports the students, faculty, staff, and alumni of Harvard College, the Harvard Griffin Graduate School of Arts and Sciences, and the John A. Paulson School of Engineering and Applied Sciences. The Associate Registrar for Systems and Records Management is a senior member of the FAS RO whose mission is to support teaching and learning at Harvard. The Associate Registrar’s role is to lead the Information and Records team by developing staff potential, leveraging technology to streamline procedures, and to support our constituents by delivering excellent customer service and effective management of student records. This position requires demonstrated leadership experience, sound judgment, strong analytical skills, deep experience with PeopleSoft Campus Solutions, and a record of successful staff management. To be effective in this role, the Associate Registrar needs to be adept at making and nurturing positive relationships with staff, colleagues, and faculty.
Oversee the constituent service operation for the Registrar of the Faculty of Arts and Sciences. Provide leadership and supervision of the Information and Records Management team (IRM) who support all areas of the Office of the Registrar, as well as reception triage for the Office of Student Services which includes partner offices of College Housing, Disability Access Office, and the Office of Academic Integrity and Student Conduct. Develop and uphold a culture of superior customer service when dealing with walk-in traffic, virtual inquiries, phone calls, and email communications.
The Associate Registrar is the chief director responsible for managing student credentials. Oversee the production and delivery of degree and enrollment certifications, diploma and transcript issuance, student file viewing access, notarization, and apostille. Manage the staff performing this work and the numerous technical systems and platforms that assist in record-keeping and automation. Serve as the main point of contact for FERPA concerns. Liaise with Harvard Public Affairs and Communications (HPAC) for media inquiries related to students and alumni.
Serve as a member of the Registrar’s Office senior management and leadership team- develop departmental priorities and goals, prioritize IT projects, provide overall department leadership with Registrar and Associate Registrars. Interview and hire staff, assign and review work, conduct annual performance reviews and take corrective actions as needed.
Act as the Registrar’s primary vendor manager for registrar systems pertaining to record keeping, including National Student Clearinghouse, Parchment, Paradigm, ApplicationXtender, FedEx, UPS, Flagship. Ensure that technology operations and platforms are meeting current needs and lead efforts to make improvements as needed; set policies and ensure compliance with goals and regulations that pertain to technology use at the FAS. Serve as one of the primary unit liaisons to information technology teams and to other Harvard Registrar offices and campus partners. Set up mechanisms for cross-fertilization of ideas, process improvements, technology use, and systems collaboration across departments.
Basic Qualifications
- Bachelor’s degree or equivalent work experience required
- Supervisory experience
- Minimum of 8 years’ relevant work experience
Additional Qualifications and Skills
- Strong communication skills
- Experience using PeopleSoft Campus Solutions and its various modules and tools including, but not limited to, Campus Community, Records and Enrollment, Curriculum Management, Query Manager
- Master’s degree in relevant field preferred
- Advanced knowledge of registrar principles and knowledge of federal, state and university regulations
- Knowledge of Microsoft Office Suite, including advanced Excel skills
- Experience using data for decision-making, reporting, and analysis

- Sitting using near vision use for reading and computer use for extended periods of time
