Job Description

Job Title: Assistant to the Dean for CEP
Department: Education
Reports To: Dean of Education and Psychology
FLSA: Non-Exempt

SUMMARY:
The ECU College of Education and Psychology Assistant to the Dean serves in the capacity as the assistant to the dean in many different capacities. The assistant will coordinate and provide recommendations for certifications to the Oklahoma State Department of Education; coordinate the dean's calendar, budget, and travel; coordinate field experiences/student teaching for ECU students; and coordinate EPP activities. The assistant to the dean is responsible for correspondence, records, data entry, and collaboration with various stakeholders.

ESSENTIAL DUTIES:

  • Assist in reports for CEP
  • Instruct EPP students that are near graduation in how to create a profile in the state database to allow them to begin the certification process
  • Coordinate field placements for students in block l, l, and Ill in local schools
  • Hire and supervise student workers in the CEP
  • Assist in training faculty in the CPAST (Candidate Preservice Assessment of Student Teaching) process for observing and evaluating student teachers
  • Instruct EPP students on how to complete the required background checks to be able to teach in public schools
  • Schedule and organize interviews for students applying to the EPP
  • Assist current and former ECU students with the state teacher certification process; from beginning to end
  • Coordinate class schedules into Colleague
  • Complete and coordinate travel for staff and faculty
  • Review transcripts for students requesting recommendation letters
  • Compose recommendation letters to be sent to the Department of Education for alternatively certified teachers that have completed necessary coursework at ECU
  • Office Hours 12 month contract
  • Collect and synthesize all data required by students to enter the EPP
  • Collect and synthesize all data received from public schools used to evaluate EPP students
  • Reserve rooms for use outside of normal classroom usage
  • Regularly communicate with administrators in public schools regarding ECU students placed on their campuses
  • Work closely with local schools to provide service learning
  • Maintain all signage for the CEP, digital signage and all hanging signage, as well as parking lot signs
  • Answer phones/emails and direct students, community members, faculty members and stakeholders to the appropriate person to assist them.
  • Coordinate and organize events for the CEP; events such as the Marvin Stokes Lectureship, Professional Education Conference, as well as many other smaller events on a regular basis
  • Perform any duties required by the dean and/or any other faculty in the college
  • Provide training for cooperating teachers as the mentor ECU student teachers
  • Assist in reviewing candidates for certification that claim ECU at their certification testing site
  • Create and maintain all records for students admitted to ECU's EPP (Education Preparation Program)
  • Make recommendations to the dean about coursework that could be accepted to meet state requirements
  • Regularly review department of Education handbook for a deep understanding of CEP policies and procedures to effectively facilitate any/all issues that may arise in the CEP
  • Coordinate student teaching placements
  • Work closely with the data coordinator in the College of Education to ensure proper data and records are being collected and available for proper dissemination
  • Coordinate facility use of Lanoy Education Building for external and internal departments as well as maintenance request
  • Other duties may be assigned
  • Create and keep an updated contact list for public schools in the state of Oklahoma
  • Coordinate purchases and keep records of purchases for the CEP (College of Education and Psychology)

EDUCATION and/or EXPERIENCE:

Bachelor's degree (B.A. or B.S.) from four-year college or university required; degree in Education or Psychology preferred.

OTHER SKILLS AND ABILITIES:

Computer knowledge (Google documents and Microsoft products preferred), typing, effective communication skills (written, verbal, and digital), organizational skills, secure computational skills, ability to work under pressure and multi-task. Must possess a consistent positive attitude.
