Become a part of our international Operations team at one of our locations in Erie, USA (hybrid). For the next possible date we are looking for you in fulltime (40h/week) as Air freight Coordinator

Your tasks and responsibilities

• Arrange transportation of shipments
• Accurate, efficient preparation of all required paperwork for delay-free forwarding.
• Computes price, discount, sales representative's commission, and shipping charges as required.
• Must be familiar with current software packages such as Microsoft Word and Excel
• Follows up on orders to ensure delivery by specified dates.
• Writes or types order form, or enters data into computer, to determine total cost for customer.
• Ability to work independently with little supervision.
• Answers questions from customers or individuals on how a product operates or directs them to the person that is able to assist them.
• Arrange inland and airfreight shipments
• Overseas communications that includes anticipation of needs in overnight correspondence. (high volume at times)
• Consistent excellence in Reliability, Professionalism and Teamwork. Maintaining current knowledge of seasonal, political or other factors that could cause delay
• Air Freight Coordinator duties and responsibilities will include the following. Other duties may be assigned.
• Prepares invoices and shipping documents such as export papers, commercial invoices.
• Responsive and comprehensive customer service via phone and email.
• Confers with production, shipping, warehouse, or common carrier personnel to expedite or trace missing or delayed shipments.
• Advise customer if the order is close to the current dollar discount and inquire if they would like to take advantage of the discount by adding on to the order.
• Types quotes and maintains files for all quotes that are processed.
• Specifies if special labeling is required for shipment and in some instances supplies to the shipping department.
• Checks shipping orders to ensure they are accurate with regards to quantity shipped, this is done by comparing shipping documents with computer generated reports.
• Timely tracing/tracking and follow-up on all shipments in progress.
• Responsible for sending new pricing, with the correct multiplier, to all customers.
• Prints shipment documents and forwards to the Customer Service Manager for review. Records or files copy of orders received.
• Development and maintenance of strong long-term customer and vendor relationships
• Adhere to all company policies in areas of Compliance, QHSES, Code of Business Conduct, Employee Handbook, etc.
• Maintains customer name and address data base.
• Book invoices and bill customers after shipment is completed
• Compliance with all TSA, DOT and Customs regulations (US and Foreign)
• Makes sure that quotes are processed through the quoting process in a timely manner.
• Receives and checks customer complaints.
• IATA DG certification a plus.
• Compiles statistics and prepares various reports for management.
• Informs customer of unit prices, shipping date, anticipated delays, and any additional information needed by customer.

• Computer skills – MS Windows 7, MS Office.
• Minimum 1-2 year of Freight Forwarding experience preferred
• Excellent communication – Verbal & Written.
• High School diploma or general education degree (GED) and one year related experience and/or training: or equivalent combination of education and experience.
