Job Description

The Admission Coordinator at Telstone will facilitate the entire admission process. They will be expected to understand and read insurance VOB's, effectively answer inquiries on program details, and assist patients in adjusting to the program once admitted. The Admission Coordinator will be required to document the admission process in the electronic medical record and collaborate with the clinical staff prior to intake to determine appropriateness of treatment.



Responsibilities and Duties

  • Manage outcome data through tracking referral sources.
  • Responds to all incoming inquiries from prospective clients, families, and referral sources in a compassionate, inclusive, and professional manner.
  • Knowledge in using behavioral healthcare EMR systems.
  • A comprehensive understanding of Telstone IOP’s services, mission and vision.
  • Maintain relevant and accurate records for each client including treatment consents, insurance information, and detailed summaries.
  • Builds trust and rapport while gathering detailed demographic information, presenting problem.
  • Identify the needs of every admission to accommodate within the facilities capabilities.
  • Articulates program details, answers questions accordingly, resolves concerns of clients and their loved ones in a timely manner.
  • Maintain an active spreadsheet of pending admissions to present daily.
  • Foster connection with individuals that reflects favorably on our program and leaves a positive lasting impression on potential clients, client families, and referents.
  • Ensure that all prospective clients, families, and referral sources are followed up with and advanced through the admission process in a timely fashion.
  • Coordinate admissions from existing referral sources.
  • Collaborate with team when referring clients/admission to another facility.
  • Outline facility rules and conduct pre-assessment with new admissions.
  • Communicate with teammates and lateral departments to ensure effective and efficient collaboration enabling prospective clients to begin in Telstone IOP program.
  • Create and Cultivate new referral sources, while maintaining previous relationships.
  • Verify benefits w/ our 3 rd party biller and coordinate with admissions.

Core Job Competencies

  • Knowledge of state and federal regulations, accrediting bureau and licensing standards, HIPAA and 42CFR.
  • Strong ability to multitask and work in a fast-paced environment
  • Familiarity working in Hubspot (CRM), but not necessary.
  • Adapts to organizational change and departmental restructuring to fit the needs of our clients, families, and referral sources.
  • Must have an understanding of behavioral health.
  • Expertise in Kipu (EMR) required
  • Demonstrates a high level of emotional intelligence.
  • Ability to receive feedback, direction, and critique.
  • Exceptional customer service and sales skills.
  • Strong and effective communication skills
  • Must be able to carry out multiple tasks simultaneously.
  • Advanced computer skills, with working knowledge of Outlook, Excel, PDF, Microsoft TEAMS.
  • Familiarity with the level of cares in mental health settings and services
  • Demonstrates proficiency in communication & written skills.
  • Must demonstrate strong communication, interpersonal and organizational skills.
  • Goal oriented and self-motivated


Qualifications

  • Must have 2 years sober, if in recovery.
  • Required 2 years or more working experience with insurance-based admissions, and all levels of insurance processing (VOB, UR, Billing, AR).
  • Minimum of 2 years experience working in admissions and/or patient acquisition in the mental health / behavioral health care setting.
  • HS Diploma or equivalent.

Salary: $55,000-$65,000
