THE OPPORTUNITY

Fisher Phillips is a national employment and labor law firm and we are looking for an Administrative Assistant/Word Processor to support the needs of our growing San Diego office. In this role, the Administrative Assistant/Word Processor works closely with the Legal Secretary in a team-oriented environment and is responsible for providing first-class legal/administrative support to the Firm, including attorneys, paralegals, secretaries and other administrative managers and individuals. This individual must make sound judgments handling work and communicating with others including their co-workers. This position requires the individual to provide a full range of clerical and administrative support to legal staff and collaborates with other staff in order to provide consistent and quality workflow support to the firm. Flexibility in daily work schedules may be required due to departmental workload requirements.

POSITION RESPONSIBILITIES

  • Prepare documents to send via Adobe Acrobat
  • Reception and Office Services coverage as needed
  • Enter and track attorney expense reimbursements
  • Enter Trial calendars in Compulaw
  • Open, sort, and distribute incoming mail as needed
  • Save documents and emails in iManage
  • Submit expense reports for attorneys in Compulaw
  • Other duties as assigned by secretaries and office administrator
  • Willing to be trained in Best Authority
  • Preparation of pleading shells
  • Assist with attorney time entries as needed
  • Assist with file management as needed
  • Set-up and preparation conference rooms for depositions and meetings

REQUIREMENTS

  • Intermediate skill level in Microsoft Word, Excel, PowerPoint and Nuance
  • Demonstrated problem-solving abilities
  • Minimum of 2 years secretarial or administrative experience in a related environment; 3 years legal experience is preferred
  • Superior knowledge of the firm’s goals and objectives
  • Ability to accomplish tasks quickly and thoroughly with a high degree of accuracy and to meet deadlines in a fast paced environment
  • Knowledge of the firm business process and business operations
  • Ability to work as a productive team member, contributing to the concept of continuous improvement of the department and its service offerings
  • Proficiency with Microsoft Office software
  • High school diploma or GED required. College course work and/or legal secretarial field or equivalent combination of experience/training in other non-related field is required

The hourly rate range for this position is $24.04 - $28.85. Actual base pay within this range will be determined by several components, including but not limited to, relevant experience, internal equity, skills, qualifications, job location, and other job-related factors permitted by law.
