Position Title: Administrative Assistant/Receptionist Hiring Manager Job Title: Administrative Manager Employment Status: Full-Time Regular
Primary Location: Metairie, LA Job Summary Serves as receptionist and first point of contact for all agency visitors. Creates a positive first impression on behalf of the agency. Directs clients to the proper person in a professional, accurate, and timely manner. Performs clerical duties as assigned

  • High School Diploma - or the equivalent (for example, GED)
Qualifications
  • Reliable transportation
  • Professional and well-groomed appearance
  • Experience with all Microsoft Office Software program
  • Experience with Applied Epic or similar systems; or ability to learn software
  • Excellent verbal, written, and interpersonal communication skills
  • Prior experience with multi-line telephone
  • Ability to use a personal computer, calculator, fax machine, copier, and scanner
  • Ability to multitask
  • Promptness
Physical Qualifications
  • Ability to stand, sit, walk, use repetitive small motor activity, use hands and fingers, and reach with hands and arms.
  • Must be physically able to work a minimum of 37.50 hours per week in the office.
  • Occasionally required to lift and carry up to 15 pounds; to stoop, or crouch.

  • Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments
  • Keeping inventory, ordering, and stocking of office and lunchroom supplies
  • Creates phone recordings for holidays and any early closings of the office via software provided
  • Positive telephone etiquette; Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
  • Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations
  • Processes all ACH client payment via bank website.
  • Opening and closing the office (unlock doors, unlock elevator, turn on lights, etc.)
  • General office duties
  • Prints postage for all outgoing mail via Stamps.com.
  • Handles all incoming and outgoing fax messages within one hour of receipt per procedure.
  • Prints all disbursement checks for mailing once per week.
  • Physical attendance is required at regular and/or mandatory company meetings.
  • Open, scan and attach incoming mail and emails.
  • Scans all incoming check payments to the bank as needed.
