Administrative Assistant Star Lab

SRI’s Speech Technology and Research Lab is seeking an experienced Administrative Assistant to support our 25-30 staff members. Ideal candidates must be highly motivated, work well under pressure, detailed-oriented, proactive, have the ability to identify and solve administrative problems, and have excellent interpersonal skills.

Responsibilities include but are not limited to the list below

• Concur experience is strongly preferred.
• Tackle a broad set of assignments requiring considerable judgement and initiative. Help to solve problems and make recommendations to the Lab
• Serve as a point of contact for information to staff on standard SRI procedures and policies.
• Administrative experience; experience in a research environment and working with proposals is a plus
• Book travel arrangements, complete and process travel expense requests and reports for domestic and international travel, schedule meetings, coordinate conferences
• Hybrid work option, request 2-3 days a week in office, must be commutable to Menlo Park, CA
• Strong knowledge of MS Office 365 Outlook, Word, Excel, and PowerPoint required; Sharepoint and One Drive a plus
• Coordinate all aspects of onboarding new staff members including interns and visitors.
• Communicate effectively with STAR staff and act as liaison to SRI units outside of STAR such as HR, accounting, travel, IT, Facilities, and Procurement
• Coordinate visitor arrangements, which include booking conference rooms, ordering catering services, set up and breakdown support.
• Assure staff compliance with timecard completion procedures.
• Provide support to staff on a variety of tasks.
• 2 or more years of college coursework preferred
