Job Description
Are you an organized and highly motivated individual with a passion for supporting teams and making a difference? We are seeking an enthusiastic Administrative Assistant to join our dynamic and forward-thinking organization. As an Administrative Assistant, you will play a vital role in helping our team achieve its goals and contribute to a better future.
Responsibilities
Provide essential assistance to the Director and staff, ensuring smooth logistical operations for grant activities.
Manage the Director's calendar, schedule network meetings and events, and prepare and distribute meeting agendas.
Take effective meeting minutes, ensuring accurate documentation of decisions, assignments, and next steps.
Assist in the execution of network programming and conferences, including our exciting DISCO Network Convening in January 2024.
Maintain records using electronic filing systems, ensuring information is organized and easily accessible.
Reconcile accounts, handle purchasing card transactions, and manage other hosting expenses using our systems.
Collaborate with the team to update and maintain content on our website, keeping it fresh and engaging.
Manage the DISCO Network general email, ensuring prompt and professional responses.
Take on ad hoc projects as required, embracing new challenges and contributing to the overall success of our organization.
Required Qualifications
High School diploma.
Minimum of 2 years of experience providing administrative/secretarial support to senior executives.
Excellent interpersonal, oral, and written communication skills.
Strong conflict resolution skills, with the ability to navigate diverse perspectives.
Exceptional project management and strategic planning abilities, influencing peers to achieve common goals.
Comfortable working in an unstructured environment, adapting to changing priorities.
Strong problem-solving skills, anticipating next steps and making informed decisions.
Demonstrated organizational skills, with an ability to manage diverse workloads, pay attention to detail, and meet deadlines.
Self-motivated and proactive, taking ownership of tasks and contributing to the impact and reputation of our organization.
Desired Qualifications
Experience working with faculty, high-level executives, or nonprofit leaders.
Bachelor's degree.
Additional Information
This is a one-year term limited position, with the possibility of renewal.
We offer a hybrid work arrangement, with flexibility to work from home two days a week.
The salary range for this position is competitive, commensurate with experience and qualifications.
