The Administrative Assistant will provide administrative and analytical support by handling information requests, performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.


Essential Functions


  • Prepare agendas and make arrangements for business meetings
  • Prepare various documents which may include invoices, reports, memos, letters, responses to correspondence, surveys, spreadsheets, expense reports and presentations
  • File and retrieve documents, records, and reports
  • Assist project work and check for completeness on file reviews
  • Additional responsibilities as assigned
  • Make travel arrangements and manage calendars for executives as requested
  • Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work
  • Distribute daily correspondence such as phone calls, mail, email and faxes
  • Greet visitors and assess access to specific individuals


Requirements


  • 2 years experience in office environment and preferably performing as an administrative assistant
  • Strong customer service skills
  • Must have knowledge of administrative procedures
  • Proficient use of applicable technology; specifically Microsoft Office Applications (Excel, Word and PowerPoint)
  • High school diploma or GED required; Bachelor’s degree preferred
  • Demonstrated ability to communicate verbally and in writing throughout all levels of organization, both internally and externally
  • Well organized with a high degree of accuracy and attention to detail
  • Ability to work with minimal supervision while fulfilling all obligations
