Job Description

Are you organized and help keep the office humming? This is the role for you! VonLehman is seeking an energetic Administrative Assistant who can interact with all levels within the organization. The Administrative Assistant must thrive in a multi-faceted role which requires the ability to handle a wide variety of activities and confidential matters with discretion.

PRIMARY DUTIES AND RESPONSIBILITIES

·Process client correspondence, financial statements, and tax returns for submission to clients, and/or third parties, quickly and accurately.

·Prepare standardized letters to be sent to all clients of the firm at certain times during the year.

·Organize tax information as it arrives from tax return clients.

·Maintenance of project lists and management of due dates.

·Maintain various forms and documents.

·Keeps others advised of work status.

·Keeps up on tax return procedure changes.

·Greets visitors/clients with enthusiasm.

·Maintains a professional image at all times.

·Fill in for receptionist when needed.

·Accurately and professionally answers and directs all incoming calls.

·Takes messages accurately.

·Schedules conference rooms via Outlook.

REQUIRED SKILLS AND EXPERIENCE

·Must possess strong organizational skills with the ability to prioritize and multitask.

·Possess high-level proofreading skills and the ability to effectively edit text.

·Be a self-starter with a strong attention to detail.

·Must possess strong verbal and written communication skills and a customer-service oriented, willing attitude.

·Two years of administrative experience and one year of tax processing experience preferred.


GENERAL SKILLS

·Strong working knowledge of Microsoft Windows environment – Word, Excel, Outlook

·Time management skills.

·Maintain confidentiality.

·Is compliant with administrative tasks and deadlines, such as time entry, response to appointments, completion of goals and performance review.

EDUCATION REQUIREMENTS

High School diploma or general education degree. Bachelor’s degree preferred.
