Job Description

Administrative Assistant III

Atlanta, GA

Potential temp to perm opportunity. Requirement to be onsite 4 days per week at the Atlanta office. Conversion salary range $80-$90k.

Job Purpose (Job Summary): Provides administrative support to the Legal and Compliance Senior Leaders, along with other key direct reports, as determined.

Key Responsibilities / Duties:

• Provide direct administrative support to the Legal and Compliance Senior Leaders, and other designees.

• Maintain calendars and schedules for meetings, appointments, travel, conference calls, etc.

• Coordinate visits, meetings, interviews, departmental meetings, etc.

• Coordinate internal/external meetings including booking conference rooms, scheduling with participants, working with IT on audio/visual needs, catering, etc.

• Book travel domestic and international; and manage expense reimbursement reports.

• Monitor and distribute all incoming and outgoing correspondence (mail, email, and telephonic).

• Maintain files.

• Create and edit agendas, presentations, and other materials for meetings.

• Conduct general, non-legal research, compile information, and prepare presentations for Invesco senior leaders, internal clients, and boards of directors.

• Proactively identify and implement additional opportunities to support leaders.

• Provide backup support for other Administrative Assistants as needed.

• Special projects as assigned.

Work Experience / Knowledge:

• 7+ years of administrative or professional office experience.

• Familiarity with the investment management industry is a plus but is not required.

• Familiarity with a variety of legal or compliance concepts, practices and procedures preferred but is not required.

Skills / Other Personal Attributes Required:

• Outstanding organizational skills and attention to detail.

• Ability to anticipate leaders’ needs; and support leaders with limited direction and follow up as needed.

• Flexibility; the ability to set priorities and work well under pressure to meet deadlines.

• Expert level verbal and written communication skills.

• Ability to handle and manage multiple tasks.

• Expert proficiency in Microsoft Word, Excel, PowerPoint, and Outlook. Proficiency with Sharepoint preferred but not required.

• Ability to work independently and proactively while maintaining a customer service oriented attitude in a fast-paced and changing environment.

• Highest level of integrity and ability to handle confidential and sensitive material in a highly professional manner.

• Mature judgment, willingness to take responsibility, and initiative to make decisions within the scope of responsibilities.

Formal Education:

• A Bachelor's degree and/or equivalent work experience.


Working Conditions:

• Normal office environment with little exposure to noise, dust, and temperatures.

• The ability to lift, carry or otherwise move objects of up to 10 pounds is also necessary.

• Normally works a regular schedule of hours, however hours may vary depending upon the project or assignment.

• Hours may include evenings and/or weekends and may include 24-hour a day on call support by cell phone.
