Description of Job
This position exists to assist the Human Resources Office staff by overseeing office operations, carrying out daily technical support, managing office duties and supporting the Executive Director. Ascertain and sort out the most immediate response to varied requests that come to the HR department.
Serve as first point of contact, via in-person, over the phone, and email for Human Resources at the Lakewood HR office. Answer internal and external inquiries such as location of forms on the portal and refer to other HR staff members as appropriate.
Provide technical assistance to users of NEOED Onboarding. Assist with the new hire processes via an electronic based system, explain information, disseminate, collect and analyze documents and forms for all employment categories. Verify identification for I-9’s, review and authorize for completeness, and track all incoming documents to the HR Department. Scan and index documents into the appropriate index locations in the Banner Document Management System (BDMS) and verify document integrity.
Manage budget for office supplies, purchase orders, inventory and assist with vendor interaction. Order inventory, arrange and distribute office supplies, office equipment, and other office management activities such as purchasing items for training, etc. Arrange payment for office supplies and vendors with direct Pays, Purchas Orders, and P-Card.
Ensure office procedure manuals are up to date to include creating, editing and managing forms on the portal and HR webpage. Assist with coordination of professional development offerings and training sessions, including schedule, event setup and tear down, schedule speaker arrangements and arrange for payment. Interact with the Marketing department to manage the HR page of the portal. Maintain master Administrator on Duty schedule and send reminder emails and announcements regarding schedule. Schedule appointments and rooms, take notes at meetings, distribute mail for Department and perform other administrative duties to assist with the efficient operation of HR.
Create correspondence, documents, spreadsheets and forms using a variety of computer software such as Microsoft Office 365 to include Outlook, Word, Excel, OneDrive, Teams, and input information into the Banner student information system. Create HR forms in Adobe Acrobat and Word and ensure the forms are in an accessible format.
Minimum Qualifications, Substitutions, Conditions Of Employment & Appeal Rights
Minimum Qualifications: Thirty-six months (36) of clerical experience in an office environment with basic knowledge/background of Human Resources. In order to be considered for this position, your clerical experience in an office environment with basic knowledge/background of Human Resources must be documented on your application. Computer literacy is a must. Daily interaction with students, faculty and staff require that this position have strong interpersonal and organizational skills due to multiple assignments and fluctuating priorities. Strong attention to detail. Effective verbal and written communication skills are necessary for success in this position. Do not use "see resume" statements on application. Your application must be completed in its entirety. (Part-time experience will be pro-rated)
Substitutions: College, university, or non-correspondence business school course work from an accredited institution in Business or a related field may substitute for the clerical experience as listed above on a year for year basis.
Preferred Qualifications: Please provide a detailed description on your application of your relevant work experience and document examples of your work in relation to the following: Previous experience managing departmental budgets and purchasing coordination. DEI experience. Working knowledge of Banner or similar system. High level of speed and accuracy regarding data entry. Prior work experience at a community college or other academic environment. Ability to multitask and be a self-starter. Understand and determine appropriate rules and regulations from various sources. Strong analytical and problem solving skills. Knowledge in extracting information from Excel spreadsheets. Ability to deal with a diverse population with discretion and tact.
Necessary Special Requirements: Must submit to and successfully complete a preemployment background check as a condition of hire. Must have the ability to handle lengthy and sometimes difficult phone calls while relaying a professional attitude under all working circumstances. Must maintain a high level of confidentiality at all times. Person coming in must have some knowledge/background of Human Resources due to the volume in the office limiting time for training.
