Position Summary
Veterinary Receptionist at the Veterinarian Teaching Hospital provides excellent customer service to our clients and are the first and last contact with our customers. This is an administrative position with little to no animal handling. Our department is responsible for providing excellent customer service by answering the phones, checking in/out clients, and other admin task as assigned. Priority will be given to applicants who are able to demonstrate a knowledge of both large and small animal veterinary terminology. This position will be given a set schedule which will depend on the hospital needs for coverage. We are looking for someone who is flexible and willing to cover daytime, evening, weekends, and holidays.
Position Minimum Qualifications
  • Enter/Verify client & patient demographic information into our software – DP
  • Utilize Push to Talk and TEAMS technology to communicate with extended team members – DP
  • Answer phones and connecting with Urgent Care, Emergency, Consult Lines— by determining type of calls and needs of clients – CT/PS
  • Accept payments for deposits and dismissals – V/WC & PA
  • Works with extended team if necessary to understand and explain invoices to clients – V/WC
  • Must be able to remain calm and focused during emergent situations
  • Quickly assess client walk-in’s and determine urgency – CT/PS
  • Must commit to working at least 6 months in the position and have full availability to work weekends, holidays and school breaks (including breaks during the spring, summer and winter).
  • Must be responsible & reliable in a very fast-paced & professional environment
  • Seeking a self-motivated, multi-tasking, customer service focused, professional student employee who possess superior verbal and written communication skills.

Provides excellent customer service to clients, referring veterinarians, clinicians, and students by listening and assessing needs, as well as by applying a working knowledge of veterinary terminology to adequately communicate and support serves by supplying information and directing patient/client case inquiries appropriately. Assesses the emotional needs of clients and responds accordingly. Solves problems and directs activity by acquiring facts and assessing the severity of situations in accordance with needs and hospital policy. Apprises clients, veterinary students, and clinicians of any functional area guidelines, protocols and procedures. Utilizes multiple communication systems to successfully communicate vital information, route calls, and transmit messages. Utilizes phone and pager system.

Audits charges, ensuring completeness and accuracy utilizing the patient’s medical record and information from clinicians, students, staff, clients and service areas. Works with Urgent care to enter any charges that are not accounted for.
Explains policies regarding VTH’s billing system to students, doctors, staff and clients. Receives and posts payments for invoices. Balances and enters deposits from previous day’s transactions. Quotes prices for services. Educates clients about the hospitals billing process and extended service areas potentially entering charges the next business day.
