Job Summary


The University of Southern Indiana ( USI ) is seeking a full-time, benefit-eligible Administrative Assistant for Housing and Residence Life. This position will provide administrative support to Housing and Residence Life and the administrative team including the Director, Associate Director, Assistant Directors, and Area Coordinators.


Responsibilities include but are not limited to:


  • Administrate the search process for Resident Assistants (RA); maintain applicant search files, participate in candidate interviews as needed, notify applicants of the interview schedules, notify applicants of placement decisions. Prepare, update, and track all forms and correspondence for the hiring and selection process and all hiring paperwork for Resident Assistants. This includes creating and managing paper and electronic candidate files. Track disciplinary conduct for all student employee applicants.
  • Assist with move-in preparations including collection and organization of all materials to put in resident rooms prior to move-in. Attend move-in planning meetings and responsible for the overall move-in preparation checklist.
  • Responsible for responding to residency verification requests.
  • Track FERPA and Child Protection Policy ( CPP ) certificates for all professional and student staff; track student employee agreements for all student staff.
  • Assist Administrative Associate with department PNC credit card (P-card) charge allocation and tracking for budgetary purposes. Process P-card green sheets into PNC and area budget tracking documents. Track RA and AC programming budgets for Associate Director.
  • Coordinate itineraries for on-campus interviews for Area Coordinator and Assistant Director positions.
  • Serve on professional staff search committees as requested.
  • Responsible for compiling RA housing placement, roommate selection, meal plan information, etc. and sending to department staff, the Registrar’s Office, and Eagle Access Office as needed.
  • Maintain accurate phone lists and photo rosters of all HRL staff and student staff.
  • Manage fall and spring evaluation timelines to ensure all student staff evaluation deadlines are met. Prepare community evaluations for all apartment buildings and residence halls in Qualtrics for residents to submit feedback on their experiences. Prepare individual peer-to-peer evaluations for Resident Assistants in Qualtrics and compile those results. Manage feedback surveys of Area Coordinators by Resident Assistants and compile results for Associate Director.
  • Attend and take minutes at departmental meetings and Area Coordinator (AC) staff meetings.
  • Maintain a weekly Area Coordinator On-Call binder that includes printed rosters of all residents, emergency contact information, emotional support animal information, and public safety banned individuals.
  • Develop, maintain, and revise information for the Departmental Manual (handbook).
  • Assist the administrative team in logistics and support including, but not limited to, areas involving programming, student conduct, and staffing.
  • Meet weekly with Associate Director.
  • Assist full-time professional staff with various administrative duties.
  • Create Qualtrics forms for the department as needed for surveys, questionnaires, applications, etc. Create student staff applications using Qualtrics. Schedule all student staff interviews through Outlook. Manage student staff search timelines to ensure processes are followed.


Essential Knowledge and Skills:


  • Exceptional interpersonal, organizational and time management skills with attention to detail required.
  • Ability to multi-task and work under time sensitive deadlines required.
  • High school diploma or GED , and two years of office experience required.
  • Excellent oral and written communication skills required.
  • Strong customer service skills, the ability to communicate effectively with diverse individuals, and project a positive image of Housing and Residence Life required.
  • Experience with computers, word processing, spreadsheet, database, and electronic software required.
  • Certificate or coursework in office management preferred.
  • Ability to maintain confidentiality required.
