Job Description
Administrative Assistant 1 - Human Resources Summary
This position is responsible for administrative duties within the Human Resources Department
Education And Experience Requirements
Associate’s or Bachelor’s degree or the equivalent preferred.
Advanced computer skills including proficiency in MS office word and excel required.
Human resources and/or accounting knowledge is a bonus.
Essential Duties
  • Assists in planning and coordinating meetings, including scheduling, invitations, site reservations, equipment and supply needs.
  • Assists in HR Department inventory tracking and ordering supplies. Researches purchase options and negotiates reciprocal agreement discounts.
  • Ensures that all transactional items are properly coded, documented, and submitted to finance in a timely manner, including timesheets, housing logs, invoices, petty cash receipts, etc.
  • Complies with all Alaska SeaLife Center policies, procedures, and programs.
  • Assists with Intern and Volunteer program operations including recruiting, correspondence, interviewing, reference checks, orientation, housing, evaluation management, and exiting.
  • Performs other related duties as assigned.
  • Assists with the administration of the employee recruiting program, including responding to applicant inquiries, posting positions, setting up interviews, coordinating with hiring committees, and maintaining online databases.
  • Fosters good relations with visitors, volunteers, community leaders, contractors, and fellow staff members by promoting positive attitudes, good will, cooperation, and providing high standards of service.
  • Performs full administrative duties of a responsible and confidential nature including correspondence, maintaining the filing system, completing data entry, completing forms, routing items for approval, and compiling and summarizing data.
Other Skills And Abilities
Ability to plan, organize, evaluate, and maintain the confidentiality of administrative and human resource tasks and information. Well organized and detail oriented with the ability to multi-task in a fast-paced environment. Self motivated and self directed, with excellent time-management and prioritization skills. Excellent communication skills. Must be able to communicate clearly and interact effectively with staff and the general public. Must possess a customer-service focus. Must be able to work independently.

This position will be conducted in an office setting. Some occasions will require this position to work in a non-traditional atmosphere. These may include; working outdoors, moving intern housing materials, and rearranging intern storage unit. Ability to see and hear; move about; stand, stoop, kneel, climb and crouch; use arms and hands; handle objects, tools, and controls; and sit. Ability to lift and move 30 pounds.
