The Accounts Payable Specialist is primarily responsible for ensuring all aspects of accounts payable processing is completed timely and accurately. This role will complete all billing and the processing of payments for the Foundation in NetSuite. The Accounts Payable Specialist is responsible for auditing and approving expense reports in Concur and ensuring the coding is correct when transferring to NetSuite. The ideal candidate will be highly organized and manage all incoming correspondence to ensure timely payment of invoices.


Responsibilities


  • Monitor and maintain Foundation Accounts Payable e-mail account to ensure the timely payment of invoices
  • Maintain schedule of monthly recurring payments
  • Backup to approve New Vendors
  • Ensure W9 or W8 documentation is obtained from all vendors
  • Process on a weekly basis, manual checks, ACH, and wire payments
  • Perform purchase order maintenance to identify purchase orders that should be closed
  • Initiate foreign currency transaction trades and subsequent bill payments
  • Assist with the preparation of standard operating procedures (SOPs) and accounting procedure manuals related to the accounts payable function
  • Review bills in NetSuite for accuracy and ensure proper supporting documentation is complete
  • Research any return payments and enter them in NetSuite
  • Maintain vendor files in NetSuite
  • Primary point of contact for vendors
Duties


  • Assist with the preparation of annual 1099 forms
  • Assist in purchase order training
  • Assist with year-end audit requirements as needed
  • Audit and approve employee expense reports timely in Concur
  • Special projects will be assigned as needed
  • Properly code incoming paid-to-travel and purchase card transactions from Concur into NetSuite
Education


  • 2 plus years of full process accounts payable experience including not-for-profit accounting preferred
  • Bachelor’s degree in accounting or finance preferred
Qualifications


  • Ability to work effectively with all staff and management, attention to detail, deadline-driven, and ability to work independently are essential characteristics of this position
  • Ability to handle confidential information in a discreet and professional manner
  • Experience working with a general ledger accounting system required. NetSuite and Concur experience a plus
  • Excellent interpersonal, communication, time management, and organizational skills
  • Knowledge of federal procurement requirements preferred
  • Proficiency in Excel is required
  • Ability to work with a large volume of data
