QUALIFICATIONS:1.Bookkeeping, accounting and reconciliations background.


  • General office skills including typing, filing, customer service, and 10-key calculator.
  • Knowledge and use of manual and computerizedgeneral accounting systems.


REPORTS TO:Business Manager


JOB GOAL(S):Assists the Business Manager as directed. Acts as procurement specialist for the district, as well as reconciling accounts to maintain fiscal integrity. Maintain an accurate general fixed assets inventory.


Performance Responsibilities


  • Maintain accounting principles as required by the Uniform System of Financial Records


(USFR) and Arizona Revised Statutes to ensure audit compliance.


  • Procurement small to large dollar purchases to include:


Entering purchase orders into financial software-Visions; printing, distributing, etc.


Verifying quotes received.


Prepare RFPs (requests for proposals), and RFBs (requests for bids)


Performing due diligence using Cooperative Purchasing Contracts


  • Pick up post office mail and make bank deposit as needed
  • Process Travel Requests
  • Enter expenditure journal entries and monthly revenue deposits into Visions
  • Perform monthly audits on AUX & SAA
  • Attend trainings as offered
  • Food Service Claims
  • Maintain the General Fixed Asset (GFA) listing using Visions
  • Reconciliation of balance sheet accounts & multiple bank accounts
  • Cross training required for other District clerical positions
  • Maintain Record Retention Schedule
  • Assist the Business Manager as requested
