Home Comfort Experts, is looking for an experienced Accounting Clerk to join our team! Previous experience is required and Service Titan experience it preferred.


Pay Range: $17.00 - $19.00


Responsibilities

The primary functions of the Accounting Clerk are to assist the Accounting Manager & Controller in completing all accounting administrative functions and training therein regarding billing, collections, technician financing, and membership and replacement projects. This position requires direct contact with and support of the accounting management team, working together to insure all revenue has been input into Intacct for the appropriate month and Business Unit. This position also requires a working knowledge of multiple administrative tasks in order to cover as back-up when the need arises.


Billing Responsibilities:

  • Responsible for reviewing all invoices for residential and commercial equipment replacement jobs as well as managing, coaching, and training for ALL billing done by others involved in billing administration who are processing invoices for HVAC, plumbing service, repair, and maintenance visits.
  • This position provides the back up for all invoice processing. Invoice processing includes verifying all information on the job, sending invoices to clients who did not pay at time of service, investigating balance discrepancies that may be due to sold estimates or other such issues created through Service Titan Mobile.


Administrative Daily/Weekly Responsibilities:

  • Periodically reviewing memberships with non-payment greater than 60 days, and ensuring those memberships are canceled and their unpaid invoices voided.
  • Reviewing the daily Job Type report to ensure all jobs are assigned to the correct Business Unit. This includes verifying any system checks set up through the Schedule Engine are investigated for Comfort Club membership status.
  • Working with Service Managers or technicians to resolve invoices that show no description of work or have other discrepancies in regards to balances due or lack of revenue.
  • Assisting Dispatch and the Customer Service Center in issues that may arise due to incorrect Service Titan workflow processes, invoices, and etc.
  • Provide daily overview reports to executive leadership.

Account Collections:

  • Equipment Reconciliation: Utilize the Job Costing by Category Report or the Equipment Reconciliation Report within Intacct to verify any and all equipment cost is accounted for by job. Follow up with Purchasing in regards to any discrepancies.
  • Coordinate with the Club Membership Administrator and Club Membership Assistant pertaining to membership account maintenance balances.
  • Coordinate with the Sales/ Installation Department ensure all replacement project billing is complete.
  • Send any additional Journal Entries needed to Accounting Manager and/or Controller.
