- Build out block schedules each term.
- Write documentation and training materials for Key processes.
- Serve as RO point of contact to troubleshoot student registration issues for sections built for special populations.
- Negotiate conflicts between departments wanting same room and same time, with same equipment requests.
- Assign registration restriction codes in Banner and publish corresponding section text comments in the online class schedule (code in two places).
- Identify University policies and procedures relevant to this position and collaborate with appropriate departments to ensure accuracy of all course listings including comments, fees and fee codes, drop/add dates, all restrictions, pre-requisites, saved seats, course descriptions and other course specifics by auditing all course information against the university course catalog.
- Provide customer service support as back-up for more complicated and difficult Key student issues.
- Return Key seats to parent sections in a timely manner to open seats for waitlisted students.
- Coordinate each term with the CSU Bookstore to receive and update open educational resources attribute on the class schedule.
- Assist Learning communities and other special academic programs with creation of class schedule each term.
- Implement the registration restriction system by determining and applying the accurate restriction codes for specific sections.
- Assist with special University initiatives such as Mid-Semester Courses, Chem Prep and related AUCC holding courses, hide and open CO 150 sections through Ram Orientation, etc.
- Coordinate with CSU Online to build out and reconcile 801/401 summer model.
- Build out the Semester at Sea class schedule each term.
- Notify departments of inconsistencies and facilitate modifications to data irregularities. Track all changes to the schedule and communicate changes to students/staff.
- Assist with finding solutions for complex section builds in Banner to meet needs of departments.
- Create cross listed Key sections allowing Key students to register.
- Identify University policies and procedures relevant to Key and Honors courses and collaborate with appropriate departments to ensure accuracy of all course listings including comments, fees and fee codes, drop/add dates, all restrictions, pre-requisites, saved seats, course descriptions and other course specifics by auditing all course information against the university course catalog.
- Respond to urgent, time sensitive requests for updates to class schedule after round 3 of the CPI is closed and before registration opens for the term. Updates must be made in both Banner and EMS .
- Assist with the class schedule build process each term
- Determine what reports or processes are needed to ensure data accuracy and integrity of all classrooms, course section and catalog data.
- Monitor data and attributes for accuracy including, differential tuition attributes, AUCC and GT pathways attributes, and other critical attributes that impact fiscal assessment and state and federal reporting.
- Utilize EMS and CLSS to pull data related to room utilization, seat fill percentages, spread of classes, contact hours, etc.
- Gather and make public information regarding scheduling patterns, utilization of available seats, and other details germane to conversation about effective use of physical space.
- Reconcile data between CourseLeaf and Banner.
- Manage data integrity and accuracy for all course section information that is a foundation for student registration.
- Complete analysis of large and extra large general assignment classrooms and make recommendations regarding section placement and classroom utilization.
- Work Classroom Scheduling edit reports to ensure data in Banner is accurate, including data matching between course and section, bad grade modes, contact hours, differential tuition attributes, etc.
- Complete analysis of available space in EMS to better plan for upcoming renovations and room remodels.
- Analyze data from Banner, EMS and CLSS to make recommendations to improve processes and outcomes.
- Analyze issues and problems and identify data entry errors in the student information system, curriculum management system, and university scheduling software and implement procedures to resolve errors and reduce their recurrence.
- Analyze estimated vs. actual enrollment in sections and make recommendations regarding section placement and seat fill.
- Analyze restriction lift process and make recommendations to develop consistency, accuracy and efficiency.
- Develop and maintain RO specific policy/procedural documents related to these students.
- Code dismissals in Banner if academic dismissed from program.
- Research and resolve issues related to on-campus access to the library, recreation center, CSU Health network and other necessary services.
- Create/maintain edit reports on SI level courses and sections and PLACE student data.
- Manage data at the course and section levels.
- Assist with assessment testing for IEP students.
- Advise, counsel, and recommend solutions how to identify and maintain data for PLACE students and their programs.
- Serve as lead representative for the Office of the Registrar for the CSU PLACE Intensive English program(s). Provide customer service support as back-up for more complicated and difficult CSU PLACE student issues.
- Process University Withdrawals.
- Coordinate with SEVIS coordinator to ensure enrollments are reporting properly to SEVIS .
- Work with CSU PLACE staff to identify needs and provide internal Office of the Registrar coordination to support CSU PLACE Programs.
- Process IEP Certificate notation on transcript.
- Coordinate with Business and Financial Services to determine accuracy of coding related to billing, assessment for non-credit PLACE programs.
- Coordinate for the Office of the Registrar the integration of both the non-credit English programs/courses into the Banner Student Information System and implement coding structures that allow segregation of the different populations.
- Read and respond to emails in a timely manner; be responsive to inquiries from institutions within the CSU System.
- Actively engage with diversity, equity, and inclusion activities consistent with CSU’s Principles of Community. Foster a respectful, inclusive, and welcoming work environment that supports the diverse needs of students, faculty, staff, and colleagues.
- Actively participate in trainings and meetings as requested.
- Perform other duties as assigned.
- Keep up to date on general activities in the Office of the Registrar to ensure Academic Planning Data Analyst functions coordinate with and meet the needs of department/university functions and priorities.
