Job Description

The Tutor Operations Specialist is responsible for supporting the operational aspects of our tutoring program. This role will help ensure the smooth functioning of tutoring operations, including scheduling, communication, time tracking, and resource management.

Responsibilities may include:

  • Collaborate with stakeholders: Work closely with program managers, coordinators, and educators to align tutoring operations with overall program goals and objectives.
  • Evaluate tutor performance: Assess tutor performance through feedback and evaluations, identify areas for improvement, and provide training or support as needed.
  • Support tutor onboarding and training
  • Schedule tutoring sessions: Arrange tutoring sessions, taking into account tutor and student availability, and manage the calendar for efficient allocation of resources.
  • Maintain tutor resources: Develop and update tutoring materials, resources, and curriculum to support tutor training and student learning.
  • Coordinate tutor assignments: Match tutors with students based on subject expertise, availability, and student requirements.
  • Manage communication: Serve as a liaison between tutors, students, and parents, providing timely and accurate information regarding tutoring sessions, schedules, and any changes or updates.
  • Communication with tutors including phone, chat, email, and video
  • Monitor tutoring sessions: Ensure tutoring sessions are conducted effectively and meet the required standards, addressing any issues or concerns that may arise.
  • Track and report data: Maintain records of tutoring sessions, tutor availability, student progress, and other relevant data to generate reports and analyze program effectiveness.



Qualifications:

  • Organizational skills: Strong organizational and time-management skills to handle multiple tasks, prioritize effectively, and meet deadlines.
  • Technological proficiency: Proficiency in using tutoring management software, scheduling tools, and other relevant technology platforms.
  • Self-starter with a willingness and ability to learn new business practices and procedures
  • Experience with Excel and Google G-suite software
  • Reliable internet and mobile phone connections
  • Interpersonal skills: Ability to build positive relationships with tutors, students, and parents, and work collaboratively as part of a team.
  • Attention to detail: Strong attention to detail to ensure accurate scheduling, data management, and quality control.
  • Safe, quiet workspace that promotes focus
  • Highly adaptable to change and thrive working in a fast-paced environment
  • Education: A bachelor's degree in education, psychology, or a related field is a plus. A teaching certificate or experience in education is a plus.
  • Problem-solving ability: The capability to identify issues, troubleshoot problems, and implement solutions in a fast-paced environment.
  • Communication skills: Excellent written and verbal communication skills to effectively interact with tutors, students, parents, and other stakeholders.
