JOB SUMMARY

Responsible for performing an extensive range of duties for Arts & Culture Event Management by assisting with venue rental inquiries and the Venue Utilization project. Under supervision, works with internal staff, potential venue rental clients, local arts organizations, and other community partners to facilitate Arts & Culture venue rentals. Provides administrative support, collects and organizes utilization data to inform future County investment in the local arts community.


MINIMUM QUALIFICATIONS


Two (2) years of general administrative support work, plus one (1) year of advanced administrative support work; OR two (2) years of courses or training in office technology and one (1) year of advanced administrative support work; OR an equivalent combination of related training and experience.

ESSENTIAL FUNCTIONS
  • Performs specialized administrative support, including planning and collaborating on special projects.
  • Assists in monitoring and documenting daily payments for rental contracts and event
  • Assists in developing and implementing a public facing venue rental referral list.
  • Functions as a knowledgeable representative for Arts & Culture among community arts partners and industry peers.
  • Performs research and analysis of event and venue utilization data, prepares reports, and conveys specific information to Event Managers and Arts & Culture Administration.
  • Assists in distribution of Arts & Culture monthly event calendars and venue utilization surveys.
  • Update & refine list of performing arts, social event, visual arts venues, and creation spaces for the Venue Utilization project.
  • Facilitates and coordinates meetings, site visits, and public forums, records and distributes minutes.
  • Responds to venue rental inquiries by communicating specialized information regarding venue booking and standard event procedures.
  • Interacts and communicates with the public, government, and business or community leaders relating to event and venue utilization

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

Work duties are typically performed in a general office setting. Will require exposure to computer display screens for long periods of time.
