Position Overview: The Partners In Health (PIH) Cross-Site Staff Wellness Coordinator will be responsible for supporting the Staff Wellness team to establish, sustain, and grow a collaborative, cross-site Staff Wellness program. This individual will be responsible for coordination and administration of team activities and planning efforts, supporting with training and curriculum development; team communications, planning and coordinating team travel, and developing and managing a team work plan. The Coordinator will help liaise Staff Wellness team with other relevant cross-site PIH teams, including PIH Mental Health, Program Support, Equity, Diversity, and Inclusion (EDI), Human Resources, and Prevention of Sexual Exploitation, Abuse, and Harassment (PSEAH) to help support the broader integration of Staff Wellness efforts into the OnePIH vision and 5-year Strategic Plan.
Responsibilities:
Coordination and Programmatic Support (35%)
- Contribute to strategic planning, operational documents, and reports for both Cross-Site and care delivery site-based use.
- Organize and coordinate Staff Wellness initiatives in collaboration with the Cross-Site Mental Health team, with virtual and in-person international knowledge sharing workshops, capacity building initiatives, workshops, and conferences.
- Coordinate activities of PIH Staff Wellness programs and teams to keep abreast of ongoing needs and liaise with various teams to ensure timely follow through of tasks, providing program management assistance when appropriate across implementation sites
Administration (30%)
- Develop a centrally shared workplan and liaise with relevant stakeholders to keep abreast of ongoing needs, implementation of projects and ensure timely follow through of tasks.
- Oversee administrative and coordination pieces of any Staff Wellness initiative, including organizing travel, logistics, and agendas for Cross-Site Staff Wellness team members and care delivery site-based colleagues.
- Provide administrative, financial, and programmatic support to staff implementing Staff Wellness services or related activities, including meeting scheduling, management, agendas, and tracking of follow-up.
- Support with budget and grant management and reporting of existing staff support grants, including the SAP Concur Staff Wellness grant.
Communication (25%)
- Communicate with and foster partnerships with key stakeholders, PIH staff, and external partners as appropriate.
- Facilitate information sharing between and amongst teams and other PIH staff as appropriate, including facilitating areas of collaboration with other intersecting teams, (PIH Mental Health, Program Support, EDI, Human Resources, and PSEAH), to ensure its integration into OnePIH Support.
- Manage Staff Wellness team communications and resources libraries on Microsoft Teams platform.
- Communicate regularly with staff working on Staff Wellness activities, including providing ongoing accompaniment to Care Delivery site program leads to build local coordination capacity.
- Maintain and develop a cross-site repository of resources, in line with existing Cross-Site Mental Health resource library.
- Maintain and develop external dissemination materials about PIH Staff Wellness efforts and programs including website content, brief documents, infographics, presentations, and reports.
Training, Curriculum, and Monitoring & Evaluation Support (10%)
- Assist with data visualization to document the impact of PIH Staff Wellness programs.
- Coordinate and support development of training, curriculum development, and e-learning initiatives and materials.
- Support data analysis (i.e., survey results, aggregation of key indicators and data sets) across PIH Staff Wellness programs.
Qualifications:
- Ability to collaborate effectively and contribute in a team setting. Exemplary interpersonal skills and ability to build relationships with a wide variety of constituents, culturally diverse staff across departments and countries.
- Bachelor’s degree preferred.
- Patience, a positive attitude, and flexibility a must.
- Strong computer skills, including Microsoft Office Suite and team collaboration platforms.
- Ability to navigate through and problem solve within complex systems.
- Ability to prioritize and take initiative on multiple and complicated tasks. Strong organizational skills and attention to detail in a fast-paced environment.
- Proficiency in English required. Fluency/proficiency in Creole, French, Spanish or other languages seen as an asset.
- At least 1-2 years of program coordination experience preferred.
- Passionate about community building, sustainability and instilling a community-based approach to global mental health or staff wellness. Formal experience with public mental health services, program management, communications, data visualization is seen as an asset.
