The best candidate will be part of an integrated team to provide client service and administrative support. The Office Support Coordinator will deliver timely, accurate and courteous quality service to internal clients and firm personnel. They must be able to manage multiple projects, undertake a variety of day-to-day office tasks and anticipate the needs while delivering exceptional service.

Essential Job Functions:
  • Proactively manage database and workflow systems to ensure accurate maintenance of client data
  • Assemble, mail, file, deliver, and e-file tax returns
  • Prepare engagement agreements for clients
  • Prepare and e-file tax extensions
  • Tax form management, collect and process in a timely manner
  • Respond to client needs on behalf of tax teams as needed to assist in time and workflow management
  • Participate in local, regional, and firmwide teams to serve our clients
  • Organizing and scanning client documents
  • Set up new clients in multiple software systems
  • Track and manage tax eFile deadlines for the local office
Additional Job Responsibilities:
  • Performs cash, AR, and other bank balance confirmations for our clients
  • Enters scheduling information into the firm’s audit scheduling software
  • Prioritizes and is resourceful in completing tasks through multi-tasking and utilizing creative thinking
  • Drives change and efficiencies within the team
  • Produces quality, professional internal and client-facing documents
  • Assembles and delivers financial statements and proposals either electronically or in paper
  • Understands and can support all administrative functions within a group and an office
  • Completes and manages workflow functions with the ability to expand with experience
  • Sets up new clients in multiple software systems
  • Implements firm and office processes and procedures with direction from the Operations Director
  • Prepares/finalizes engagement letters to deliver to clients
  • Finalizes formatting of financial statements in Microsoft Word and Excel
  • Participates in local, regional, and firmwide teams to serve our clients
  • Proactively manages database and workflow systems to ensure accurate maintenance of client data
  • Follows risk-based procedures to finalize financial statements before delivering to the client
  • Possesses strong technology skills with an ability to adapt to changes and new programs
  • Leads with strong communication and demonstrates effective interpersonal skills
  • Responds to client needs on behalf of various teams as needed to assist in time and workflow management
  • Provides support to the Office Assistant (Internal Operations Coordinator) by covering the front desk and maintaining the breakroom/supply room during breaks/vacation
  • Works well with time sensitive projects and adaptable to specific deadlines
Microsoft Windows and Office Products (daily use) Competencies Required.
  • MS PowerPoint (intermediate to advance level)
  • MS Word (intermediate to advance level)
  • MS Excel (intermediate to advance level)
  • MS Outlook (intermediate to advance level)
  • Adobe, and other Products (intermediate to advance level)
Minimum Job Requirements:
  • 3 or more years of related administrative support experience required
  • Must be detail oriented and strong writing skills
  • Organized with the ability to prioritize and multi-task
  • Bachelor’s Degree is highly preferred
  • High school degree or equivalent experience is required
  • Excellent decision-making and problem-solving skills
Compensation range: $42,000 - $67,000
Our approach to compensation emphasizes collaboration and career growth. We pay competitive wages and view compensation as an investment in our people. Factors such as geography, experience, education, skills, and knowledge may impact position of pay within the range. These same factors may cause starting pay to be below or above the posted range.
