Job Description

Stand Together is growing and so is the impact of our work to empower individuals to realize their potential.  We are seeking a Senior Executive Assistant to directly support and partner with our CEO, Brian Hooks

 

In this role, you will serve as a key partner to our CEO fully supporting calendaring and scheduling, travel and logistics, partner communication, and triaging priorities.  You will be an extension of the CEO’s day-to-day activities and help ensure his time and bandwidth are maximized amongst a range of competing priorities.  If you thrive from always being the one on top of things in a hyper-paced environment; if you pride yourself in your business acumen and not just checking boxes but helping drive your business forward through executive support, let’s talk.

 

To be successful in this role, you will have experience directly supporting the CEO or top executive at a fast-paced organization.  You will have a high-degree of business acumen and examples of approaching your role as a partner, not just an assistant.  Finally, you will have experience representing your principal and your brand to top external partners.

 

Your Responsibilities Include:

  • Travel and logistics.  Schedule all travel arrangements including air travel, hotel accommodations and ground transportation.
  • General administrative support.  Process invoice payments, reconcile receipts and expense reports on behalf of the leaders, and book and coordinate travel, itineraries, and logistics.
  • Calendar management.  Build and maintain a deep understanding of priorities to effectively allocate the principal's time.  Prioritize a high volume of inquiries and requests while troubleshooting conflicts for your team.  Make judgements on time and recommendations grounded in strategic priorities to ensure smooth day-to-day engagements.
  • Identify areas to increase efficiency and innovate to improve administrative processes.  Apply entrepreneurial thinking to identify opportunities to help the team support the organization's goals more effectively.  Collaborate with internal and external Executive Assistants to understand prioritization and make trade-offs.  Identify and learn new tools and techniques to elevate the level of support and partnership the administrative team can give.
  • Meeting preparation and participation.  Assemble meeting agendas, record meeting minutes and notes, and oversee A/V needs and action items.

 

Knowledge and Skills You Bring to the Organization

  • High degree of judgement in managing the principal's time effectively in a fast-paced environment.
  • Articulate and concise oral and written communication skills.
  • Unparalleled attention to detail and drive to take the initiative, with the professionalism to interact with employees and key external partners.
  • Ability to think strategically about the principal's time as an allocation of resources.
  • An excitement for Stand Together's work and vision .
  • Demonstrated high level of confidentiality, sense of judgment, and ability to improvise and creatively problem-solve while maintaining composure.
  • 5+ years of professional experience, with at least 2 years directly supporting a top executive as an EA, Chief of Staff, Personal Assistant, or similar capacity.
  • Proficiency with Microsoft Office: Word, Excel, Outlook (including expertise with Outlook's calendar function), and PowerPoint
  • Ability and interest to be available and responsive outside of normal business hours
