$2,000 SIGN-ON BONUS SKILLED NURSING FACILITY


  • Job Summary


The Staffing Coordinator ensures adequate and appropriate staffing of the facility nursing department to meet the needs of the residents based on budget, census, and as may be directed by facility administration. Prepares schedules on a twenty-four-hour basis.

Residents Rights


  • Reports complaints made by residents/patients to supervisor.
  • Ensures protected health information is kept confidential.
  • Knows and respects patients’ rights.
  • Reports all allegations of patient abuse, neglect and/or misappropriation of patient property.


Safety and Sanitation


  • Wears and/or uses safety equipment and supplies when indicated and properly trained to use.
  • Demonstrates job-specific knowledge of fire and disaster preparedness during drills or actual situations.
  • Follows established safety policies and procedures.


Staff Development


  • Attends, provides, and participates in scheduled in-service training, educational classes, and meetings.
  • Completes assigned Relias training.
  • Facilitates quality orientation program by communicating new hire orientation schedule to nursing administration and unit staff who will participate in orientation.
  • Participates in staff training.


Staffing Coordinator Scheduling Responsibilities


  • Obtains appropriate approval for time-off requests, shift trades, and vacation requests.
  • Prepares weekly, monthly, and quarterly staffing summary reports.
  • Staffing and scheduling experience preferred. On-the-job training provided.
  • Works closely with payroll to ensure accurate schedules within the timekeeping system.
  • Reviews the daily punch details, compares it to the master schedule, makes any necessary changes, reviews the float reports, and submits the completed detail to the Director of Health Services for payroll.
  • Considerable exposure to disagreeable conditions including odors, infection, illness, and physical contact from disruptive patients.
  • High school diploma or GED required; Associates degree in office management or related field, preferred.
  • Education/Qualifications
  • Demonstrates attention to detail in all aspects of their work.
  • Reviews complaints and grievances pertinent to scheduling and staffing. Makes necessary oral/written reports to the DNS. Participates in QAPI’s as directed.
  • Persons who have been found guilty by a court of law or identified in by any registry, regulatory, or licensing body of abusing, neglecting, or mistreating individuals in a health care related setting are ineligible for employment in the position.
  • Exerting up to 20 pounds of force to lift, carry, push, pull or otherwise move objects, including the human body and supplies, talking, hearing, seeing. Involves sitting most of the time, but also involves walking or standing for periods of time to give facility tours, complete training, etc.
  • Prepares and submits reports regarding staffing and employee operations.
  • Attends various committee meetings of the facility (safety, recruitment/retention, etc.) as required.
  • Makes written/oral reports/recommendations to the DHS concerning staffing and scheduling issues.
  • Maintains a current list of employee telephone numbers. Ensures SmartLinx has employee contacts. Informs HR of any missing information.
  • Maintains clerical supplies, equipment, manuals, and meeting minutes for the Health Services department.
  • Work Environment/Conditions
  • This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Repetitive use of wrist and fingers expected.
  • Takes call-ins while on duty and finds replacement for staff call offs.
  • Reports to Director of Health Services (DHS) all employees with excess tardiness or absenteeism monthly or more frequently as issues present themselves.
  • Travel
  • Persons who have been found guilty by a court of law of misappropriation, forgery, fraud, or theft are ineligible for this position.
  • This position requires extensive use of office equipment including computers, phones, fax, scanner, etc. Repeating motions that may include the wrists, hands and/or fingers.
  • Maintains logs of hours worked in the distinct unit and available positions in the department.
  • Prepares monthly schedules and daily sign-in sheets for nurses and nursing assistants.
  • Answers employee calls regarding staffing/scheduling functions. Prepares written correspondence as necessary.
  • Assists with some medical records functions as needed.
  • Coordinates transportation arrangements and doctors’ appointments for resident as needed.
  • Has demonstrated computer skills with a working knowledge of Microsoft Office applications (e.g., Word, Excel, Outlook, etc.).
  • Performs any miscellaneous work assignments as may be required.
  • Updates the master schedule with changes daily.
  • Consults with nursing department staff and supervisors concerning the staffing/scheduling needs: to assist in elimination/correction of problem areas, and/or improvement of services.
  • Assists in obtaining nursing care staff information needed for daily posting requirements. Posts daily staffing in the facility.
  • Completes and posts work sheets/time schedules. Coordinate variances with the DNS.
  • Assists with audits (e.g., licensure, certification, exclusions, etc.) as requested by HR.
  • Tasks assigned to this position may involve some potential exposure to blood, body fluids, infectious diseases, air contaminants, and hazardous chemicals. Potential for disagreeable conditions including odors, infection, and illness.
  • Primarily inside in well-lighted, well-ventilated areas. Works in office and clinical environments. May be subject to hostile and emotionally upset residents, staff, families, and personnel.
  • Records all Leaves of Absence, special requests, vacation and holiday requests, and requests for schedule changes.
  • Ensures newly hired nursing staff are entered in SmartLinx and have schedules upon orientation.
  • Physical Demands
  • Attends weekly staffing meetings and reports to the Executive Director, Director of Health Services, and the Human Resources designee, the staffing summaries, open positions, Medicare hours, and hours PPD.
  • Revises staffing/scheduling in SmartLinx as needed.
  • Must have patience, tact, cheerful disposition, and enthusiasm, as well as be willing to handle personnel based on whatever maturity level at which they are currently functioning.

  • Exercises excellent communication skills, both verbal and written. Must be able to read, write, speak, and understand the English language.
  • Assists employees in accurate completion of forms (i.e., leave and day off requests, timecards, etc.) pertinent to scheduling and staffing.
  • Works with Human Resources and DHS when scheduling modified work duty employees in accordance with work restrictions and facility policy
