ABOUT THE SHERIFF’S OFFICE:
The Tillamook County Sheriff's duty is to maintain peace within the county, and as an elected official the Sheriff is accountable to the people of Tillamook County. Citizens living and visiting Tillamook County receive many services from your Sheriff's Office. In the unincorporated areas of Tillamook County deputies provide Law Enforcement and emergency response. But there is much more to the Sheriff’s Office than patrolling the rural parts of our county. Some of the major operations include our 54 dedicated employees running and maintaining the Jail, Search and Rescue on land and water, processing and delivery of civil papers, Community Corrections (Parole and Probation), Court House Security, major crime team response, and support of the municipal City Police Departments.

ABOUT THE POSITION:
The mission of the Sheriff's Office Criminal Division is to serve and protect the people and property in Tillamook County. This classification performs intermediate level clerical support services to assist Sheriff's Office recordkeeping functions. Duties are varied and are performed within established guidelines; the employee applies judgment to determine appropriate procedures and conduct of assignment.

Examples of Essential Duties

DUTIES/RESPONSIBILITIES:
(Duties assigned to this position are not all inclusive. Additional duties may be assigned.)
  • Assist the public in person and by telephone; direct calls to appropriate division; perform counter work and answer questions courteously and professionally related to division or department activities. Process requests from insurance companies for copies of reports.
  • Enter and retrieve data in computer files either utilizing departmental or LEDS systems; specific procedural requirements are followed, and accuracy is necessary. Retrieve data for specific request and/or monthly and administrative reports. Prepare in appropriate format style.
  • Maintain case files, perform filing and record keeping duties where several systems are utilized; conduct file and record searches; photocopy for District Attorney, attorneys, insurance companies, etc. Expunge or seal records on order of the Court.
  • Prepare and process deputy reports, forms, letters, departmental reports, statistical reports from draft, written or verbal dictation into appropriate format. Process traffic tickets which involve several, sequential steps. Enter codes for information in crime reports onto uniform crime reports, forward to state offices.
  • Open, process and/or distribute mail; process and distribute teletype communications.

Typical Qualifications

REQUIRED KNOWLEDGE/SKILLS/ABITILIES:
Knowledge of: Reasonable knowledge of general office practices and procedures; reasonable knowledge of systematic filing and retrieval processes or systems relating to assigned department or program area; reasonable knowledge of word processing; reasonable knowledge of English composition, spelling, grammar, and arithmetic; basic knowledge of general record keeping and bookkeeping processes.

Skill in: Typing rapidly and accurately; use of computers and other office equipment which includes automated equipment and systems.

Ability to: Communicate effectively in both oral and written forms; manage time efficiently, make decisions independently in accordance with established policies and use initiative and judgment in completing tasks and responsibilities; utilize problem identification and resolution techniques; remain calm and use good judgment during confrontational or high pressure situations; plan moderately complex statements and reports; establish and maintain records, reports and statistical data; courteously meet and deal effectively with other employees, public agencies and the public.

REQUIRED EDUCATION/EXPERIENCE:
Preferred experience in clerical support experience OR a combination of education, experience, and training.

Supplemental Information

SUPERVISOR RESPONSIBILITIES:
Work is performed under the general supervision of the Sheriff. The employee uses initiative in completing routine assignments and refers to the supervisor when encountering problems or difficult situations. Work is reviewed in progress and upon completion for accuracy and conformance to departmental policy and procedure.

Work is performed within departmental policies and procedures; federal, state and county statutes, rules, regulations; secretarial handbooks; software and equipment manuals; specialized dictionaries and reference materials. Some judgment is used in interpretation of guidelines; however, supervisor is available for interpretation in unusual situations.

PHYSICAL DEMANDS/WORK ENVIRONMENT:
Work is performed in an office environment and is generally sedentary; however, may require bending, hearing voice conversation, keyboarding, kneeling, lifting up to 25 pounds, pulling, pushing, reaching, sitting, standing, and walking.
