Description

Dauphin County Prison is currently accepting applications for the full time position of Prison File Clerk. This is responsible, confidential support work, involving the organization and maintenance of the filing system, in the Treatment Department of Dauphin County Prison. An employee in this position establishes, maintains and perpetually updates confidential treatment files for inmates, providing same to authorized individuals, in accordance with established procedure. He/she performs a wide range of duties including answering telephones, greeting visitors, completing copying projects, and performing light typing. The incumbent exercises limited independent judgment, and reports to the Deputy Warden for Treatment or designee, as the former directs. The employee in this position is also responsible for but not limited to performing the following essential functions: organizes and maintains automated and manual filing system; updates files for new commitments on a daily basis, reactivating prior inmates' files or creating new ones, as necessary; closes out files for released inmates, pulling folders from active section and placing in inactive; alphabetizes incoming documents, for both active and inactive files, on a daily basis and files in a timely manner; retrieves, signs out, and delivers active files for classification purposes and in response to requests from Warden, Deputy Warden or other authorized entities; refiles materials when returned; and maintains confidentiality of records and documents; observes set procedures for giving allowable information to appropriate individuals.

The employee in this position is also responsible for performing the following additional essential functions: answers phones and routes calls and/or takes and distributes messages; receives and routes Department correspondence; greets and directs visitors, in accordance with established protocols; performs data entry as required/requested for court lines, Treatment programming, and inmate information; in concert with treatment secretary, maintains inventory of office supplies, ordering replenishments when necessary; monitors operation of standard business machines (i.e., computer, word processor, typewriter, copier, calculator, telephone/intercom equipment), and reports malfunction to proper authority; distributes master population list on a daily basis; undertakes copying projects for department as requested; performs related tasks, as necessary/directed by proper authority; and performs all other duties as assigned.

Minimum Education, Experience, and Training Requirements

  • One year experience in general office work, including filing.
  • Graduation from high school or an accredited equivalency program; plus

Other Requirements

It is expected that this employee will attain certification in first aid and cardiopulmonary resuscitation and maintain certification in same throughout his/her term of employment.
