Job Description

Greenberg Traurig, a global law firm, currently has an excellent employment opportunity for a Receptionist in our Delaware office.

Position Summary:

The primary focus of the Receptionist position is to act as the first point of contact for visitors and to manage the flow of incoming calls to the office. The Receptionist will also perform conference room maintenance and setup including coordination of food service for meetings and other special events. Candidate should also be flexible to work overtime as needed.

Duties & Responsibilities:

  • Provides routine maintenance/cleanup for conference rooms and kitchen area including loading and emptying dishwasher and cleaning out refrigerators
  • Reserves visitor offices as needed and accommodates visitors upon arrival
  • Acts as first point of contact for all visitors. Greets visitors and promptly notifies internal parties of arrival
  • Answers incoming calls (locally and nationally) and directs them appropriately
  • Orders catering for all meetings and maintains a good rapport with caterers
  • Prepares conference rooms for meetings
  • Maintains high degree of professionalism and confidentiality
  • Coordinates and setups beverage and food service for meetings
  • Ensures all visitors check in at reception immediately upon arrival to maintain security
  • Coordinates conference room reservations and proactively monitors conference room schedule to avoid conflicts and resolves minor issues relating there to
  • Coordinates transportation needs for internal and external customers, including cabs and car services to airport, court, etc.
  • Accurately and thoroughly maintains visitor/delivery logs and outgoing package logs
  • Inventory and stocking of kitchen and conference room supplies
  • Moves furniture (such as conference room tables, kitchen chairs, etc) on occasion as needed
  • Assists with other department activities as needed, and performs additional duties and responsibilities as assigned

Skills & Competencies:

  • High attention to detail, outstanding organizational skills and the ability to manage time effectively
  • Excellent interpersonal and communication skills (oral and written), professional demeanor and presentation
  • Provide outstanding client service, meet high quality standards for services and meet or exceed client expectations.
  • Proactive in seeking innovative ways in which to help others
  • Candidate must be a self-starter who can work independently with minimal supervision

Qualifications & Prior Experience:

  • Exceptional computer skills with the ability to learn new software applications quickly
  • Computer proficiency in Windows-based software and Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook
  • Minimum 3-5 years of law firm receptionist or hospitality experience
  • High School Diploma; College Degree in Hospitality Management is a plus
