MRA's Receptionist/Brand Ambassador provides a professional and exceptional customer service experience to all who visit or call MRA. This individual is the FACE of MRA, Friendly, Accountable, Centered on Members and Engaged. Responsible for greeting members, announcing visitors, answers phone calls, and triages incoming questions. Creates a welcoming and inviting atmosphere for first impressions.


The successful candidate will operate a telephone console to receive incoming calls, connects to the proper party, and answer general requests for information within established guidelines. In addition, this role is responsible for all Wisconsin office mail duties daily and performs routine administrative duties to support the organization including but not limited to accessing and entering information in our member database, schedule and coordinate meetings, administrative assistance and maintaining a secure and safe office.


Major Duties And Responsibilities


  • Answers main phone and direct calls as needed. Take accurate messages as necessary and distribute. Call and locate MRA staff as needed.
  • Maintains mail room supplies and procedures, getting mail out and in on time. Receives packages and appropriately delivers. Accept and sign for packages for MRA and building tenants. Arrange distribution. Coordinate inbound and outbound packages with UPS, Fed Ex, couriers.
  • Other duties as assigned include but are not limited to: coordinating internal and member meetings, research, report pulling, maintaining directories, stock refreshments in the lobby, and assistance with MRA's strategic initiatives.
  • Assist members with website assistance and virtual event information like i.e., access, login and password assistance.
  • Additional responsibilities may include supporting association work with creating newsletters, creating meetings, communicating with association leaders, and other administrative duties.
  • Greet guests, announce arrival to the proper party, offer refreshments and be sure all guests have met their party, have found meeting rooms, etc. Be accessible to all entering the building in the morning hours when classes and members are in session.
  • Support Administrative duties for leaders and departments as needed.
  • Maintain safety and security procedures if needed. Maintain guest fob supply and guest log in and out.
  • Prepares, composes, and initiates correspondence, presentation materials, certificates, and reports.


Minimum Qualifications/Additional Performance Criteria


  • High school degree or equivalent
  • Receptive to the individual needs of members visitors and staff and support them for a positive experience
  • 3 to 5 years of related experience, or a combination of education and experience
  • Human Resource experience preferred
  • Experience in working in a public facing role
  • Experience with a multiline phone system and MS Office
  • Demonstrates a Friendly and Approachable presence making all who enter at ease and comfortable
  • Demonstrates reliability and accountability with past positions
  • Excellent Customer Service experience and skills
