Job Description
The Receptionist engages in the usual office duties such as answering calls and email and filing papers. As a receptionist, you are the first point of contact for the company and will provide administrative support across the organization. You will handle the flow of people through the business and ensure that all tasks are completed accurately and delivered with high quality and in a timely manner.


Primary Responsibilities


The responsibilities of the Receptionist include, but not limited to:


  • Order supplies required directly with vendors
  • Record purchase orders in the accounting system
  • Upload documents in the company's secure electronic data capture system
  • Give a warm greeting to all individuals entering the office premises
  • Enter vendor invoices into the company's accounting system.
  • Keep track of returns and credits
  • Monitor visitor access and maintain security awareness
  • General administrative and clerical support
  • Computer-based data entry
  • Accept and sign for packages
  • Receive, screen all incoming phone calls and connect them to appropriate personnel


Other Important Functions Include


  • Organize conference and meeting room bookings
  • Keep and maintain the lunch room with all the supplies
  • Keep and maintain office and conference room appearance presentable
  • Assist in other duties as needed and directed
  • Plan company lunches, farewells, picnics and holiday parties
  • Keep and maintain an adequate inventory of office supplies
  • Schedule and coordinate meetings, appointments, and travel arrangements
  • Assist with shipping samples when needed
  • Escort vendors through the facility


Candidate Requirements


  • Professional attitude and appearance
  • Excellent organizational skills
  • High school degree
  • Ability to be resourceful and proactive when issues arise
  • Competency in Microsoft applications including Word, Excel, and Outlook
  • Solid written and verbal communication skills
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Customer service attitude
  • Multitasking and time-management skills, with the ability to prioritize tasks
