JOB TITLE: Public Records Analyst
LOCATION: Olympia, Washington

Senate Profile
The Washington State Legislature is a bicameral body comprised of the Senate and the House of Representatives. The Legislature meets annually on the second Monday in January in the Capitol Building in Olympia. Regular legislative sessions take place January through March in even-numbered years and January through April in odd-numbered years. Special legislative sessions occur as needed. Permanent staff work year-round supporting the Senate and legislative members. Position Profile
The Senate seeks an experienced public records professional to serve in the Senate Public Records Office. This position plays an integral role in responding to public records requests. The ideal candidate will have a depth of knowledge in public records, be detail oriented, and will have exceptional interpersonal skills. The position requires a strong customer service focus.
This position reports to the Public Records Staff Coordinator.
Position Responsibilities
  • File, organize, and maintain files.
  • Communicate with requesters to clarify requests and ensure the efficient and accurate delivery of public records.
  • Update complex public records tracking logs.
  • Maintain confidentiality and integrity when working with records.
  • Assist in producing high-quality, accurate, and timely responses to public records requests, including searching for and gathering relevant documents and redacting exempt information as necessary and directed.
  • Conduct searches for records with guidance from the Public Records Officer, using Boolean search logic and varying software, such as Microsoft E-Discovery.
  • Draft letters and email communications to requesters and staff with a high level of accuracy.
  • Convert large numbers of documents into PDF format.
  • Identify and assist with the coordination of public records requests.
Requirements
Critical Skill & Abilities
  • Knowledge of or experience with GovQA
  • Demonstrated ability to work in a non-partisan capacity, supporting all members and staff regardless of party affiliation or position
  • Working knowledge of applying exemptions to records
  • Strong experience with Adobe Pro Redaction Software as well as PDF Architect
  • Ability to exercise discretion and maintain confidentiality
  • Understanding of retention and archives procedures
  • Excellent organizational skills including the ability to prioritize, coordinate and simultaneously manage multiple, often competing deadlines
  • Experience reviewing records for redactions and assisting with production of records to requesters
  • Experience conducting searches for records using Microsoft E-Discovery
  • Working knowledge of retention periods and dispositions schedules for records
  • Solid understanding of Microsoft Office Suite systems including, Word, Excel, and PowerPoint
Qualifications
At least two years of professional experience working with the Washington State Public Records Act under RCW 42.56.
Benefits
Salary Range
The salary for this position is based on relevant experience and qualifications. The full range for the position is $5,570 - $9,652 per month. A hiring salary will be less than the top of the range, however.
