JOB SUMMARY:
The Psychiatric Admissions Coordinator is under general supervision, provides clerical and administrative support to the Psychiatric Service. Work requires internal contacts outside the work group to exchange work-related information. Contact with external contacts is for ongoing service, handling of routine transactions and providing detailed information about a selected service or capability.
MAJOR JOB RESPONSIBILITIES:
Provides daily support to the Psychiatric Service staff by:
Assisting with referrals to psychiatric facilities and programs
Communicating with appropriate third party payers to obtain necessary authorization.
Documenting in the patient record efforts at authorization referral and placement.
Faxing referral information to facilities.
Preparing transfer packets.
Arranging transportation for patients for discharge and transfers to other facilities for
continued care.
Providing direct administrative/clerical support to the medical director and Behavior
Health Unit in the ED social workers and physicians.
Assisting the department director in scheduling meetings and appointments to help
support the department goals.
Assisting in writing reports and analysis of data
Makes arrangements for inpatient and outpatient psychiatric services for patients by calling the agency for services required and obtaining authorization from insurance companies.
Basic computer skills required in Microsoft Word and Excel to design confidential/sensitive reports, documents, charts, agendas, and labels. Transcribes meeting minutes as requested.
Coordinates, schedules, and arranges meetings/in-services as requested.
Assists with making arrangements for medications from HCGH pharmacy for indigent
patients as directed.
Responds to inquiries from patients, insurance companies, etc. of departmental activities by
giving specific information requiring limited interpretation.
Operates various office machines including fax machines, calculator, photocopying
machine, and computer, concentrating on accuracy and efficiency.
Performs other related office duties such special projects, as requested.
Coordinates census and flow of patients in the system (inpatient, Consultation-Liaison (C-L)
service, and Psych ED service) with the medical director.
10. Obtains authorizations for consultation.
11. Assists with processing of disposition of C-L service patients to outside facilities.
Obtains authorizations for admission for ED patients to 1 North and outside facilities.
Processes admission flow of C-L and ED patients to 1 North.
Generates reports of census, work activity and payor mix for 1 North patients.
Generates reports of C-L service activity (initial and follow-up consults), payor mix.
Liaison with HCGH administration to track financial progress.
Develops and implements needs assessments of service provision (e.g., types of patients
seen on
C-L service and specific interventions needed - substance use referrals, etc.).
Oversees tracking of ED performance data with medical director (e.g., overall throughput
time, time-to-consult, dispo wait times).
Liaison with ED services to initiate interventions for long-stay outliers - identifies outliers and
helps analyze records for issues related to LOS.
Provides centralized intake and consult support to providers and community during regular
business hours.
Documents patient related efforts as required in the patient record.

Performs duties in a manner that is consistent with the hospital's core values and the language of caring habits.
Attends mandatory departmental meetings, hospital in-services, and continuing education programs to keep informed of new developments affecting hospital initiatives and his/her area of expertise.
Participates on Continuous Improvement Teams as required. Performs tasks necessary for maintenance and improvement of his/her functional area within the department.
Maintains effective, timely lines of communication with his/her supervisor and co-workers.
Maintains acceptable attendance and punctuality in order to maximize his/her contribution to
the organization in accordance with hospital policy.
