The Management Services Division of the Loudoun County Department of General Services (DGS) is currently looking for a diligent, creative, and skilled candidate to fill the position of Property Portfolio Assistant in Leesburg, Virginia. This is a full-time role responsible for assisting DGS with management of the County's owned and leased facilities, including facility services management. The Management Services Division offers support to various County departments and operates in a fast-paced, outcome-oriented setting that relies on collaborative problem solving. The preferred applicant should possess strong time management skills, including the ability to prioritize time-sensitive tasks and meet deadlines.

This recently established role will be under the supervision of the Property Portfolio Administrator and will entail the following responsibilities:

  • Organizing lease and property owned files in preparation for transitioning to a new property management system.
  • Handling accounting tasks such as requesting purchase orders, reviewing invoices for payment, and procuring necessary items.
  • Overseeing contract management activities, including ensuring contractors comply with contract terms and conditions, auditing their performance and contract requirements, and notifying the Property Portfolio Administrator 60 days prior to contract expiration.
  • Working collaboratively in a team environment with both County staff and vendors.
  • Performing clerical duties, such as updating and maintaining contact lists, forms, and other documents on a daily basis.
  • Collaborating with the Contract Manager to prepare bid documents for services.
  • Coordinating work schedules for various County sites across multiple departments and contractors.
  • Managing the day-to-day operations of janitorial, pest control, and recycling services, which involves assigning work orders to contractors, following up on their progress, arranging special cleanings or services, and issuing access cards.
  • Ensuring prompt execution and completion of assigned projects.

The ideal candidate will possess strong Microsoft Office (Word, Excel, Outlook) and scheduling skills, organizational skills, attention to detail, and have a passion for providing excellent customer service.


Salary Commensurate with Experience

Job Requirements

High School diploma and three (3) years of work experience related to property management, service contract management, and/or commercial real estate; or equivalent combination of education and experience.


PREFERRED QUALIFICATIONS:

  • Certifications related to property management, project management, and/or facility management, such as LEED, CMH, or CAPM
  • Familiarity with invoice processing and procurement transactions
  • Prior local government work experience

Special Requirements

Valid driver's license and good driving record is required. This position will primarily perform office-based work but will also be required to visit a variety of County facilities in support of assigned tasks.
