Job Description

The position is responsible for planning and project management responsibilities supporting scholarships and financial aid administration. Responsibilities include monitoring and recording details to produce annual reports for the office, coordinating project planning and change management processes, and monitoring and projecting office operational expenditures. Analysis and synthesis of data and information are integral to this position.

Responsibilities
PLANNING AND PROJECT MANAGEMENT
  • Serves as lead project manager for projects designated by Executive Director and fellow senior managers; ensures timely and accurate progress for designated projects
  • Participates in oversight and management of office projects (long-term and short-term) affecting the delivery of services and processing, as well as overall office operations
  • Coordinates and maintains a current detailed timeline and status of all ongoing and anticipated projects/tasks, and keeps fellow senior managers apprised on a schedule established by the Executive Director
  • Oversees and manages established change management processes within the office, including those that are dependent upon or affect other offices/units within the university
  • Seeks relevant data, conducts appropriate analyses, and produces reports for decision support consistent with office compliance criteria and continuous quality improvement
  • Collaboratively ensures all data collection, analyses, and reporting efforts are accomplished timely, and with accuracy and integrity

ANALYSIS AND REPORT PREPARATION
  • Utilizes statistical methods and models to organize and analyze issues and information
  • Collaborates on the forecasting, development, and implementation of policies and procedures officewide, as well as overall staff management and budgetary goals and objectives that are consistent with University of Utah’s policies.
  • Assists with development of office-wide policies and procedures and calendars, including ensuring content is current and accurate, and that emerging trends or anomalies are noted appropriately
  • Contributes to production and maintenance of reports and dashboards (current and historical)
MONITORING/MANAGEMENT OF OPERATIONAL EXPENDITURES & BUDGET
  • Prepares, monitors, manages/analyzes, and reconciles office operational budget(s).
  • Assists budget and resource planning personnel in defining the content and scope of budget and resource projects and assignments.
  • Prepares categorical budget projections; routinely reconciles authorized expenditures and resolves discrepancies
  • Prepares budget reports as required and as requested by senior management
  • Collaborates with management and other staff to train staff on protocol and policies related to office budgets
  • Ensures all transactions and responsibilities are conducted timely and logically with effective problem resolution and reconciliation
  • Professionally addresses and works toward resolution of complex or novel situations encountered with matters affecting the office operational budget(s)
  • Ensures professional delivery of services, including maintenance of data/information security, privacy, and confidentiality
  • Ensures appropriate records management procedures and complies with recordkeeping and archival requirements
TRAINING AND PROFESSIONAL DEVELOPMENT; PROFESSIONALISM
  • Maintains current knowledge of rules, regulations, policies, and practices affecting job responsibilities and administrative procedures
  • Actively participates in professional meetings, conferences, and workshops; meets and communicates clearly with colleagues in similar positions/roles; researches industry practices; shares resulting knowledge and research with management and staff in order to serve well the students and the institution
  • Ensures area policies and procedures are current and accurate;
  • Provides clear and accurate documentation of transactions, conversations, interactions, and edits to records affecting student eligibility and/or compliance with applicable regulations, statutes, and/or policies
  • Maintains professional appearance and demeanor, including when engaging students, families, colleagues, and members of the public
  • Assists in training new employees (permanent and temporary, including interns and graduate assistants), as needed
EFFECTIVE CONTRIBUTIONS TO OFFICE MANAGEMENT
  • Assists in the maintenance of the office operational budget and reconciles expenditures
  • Participates in University-wide committees as needed
  • Actively participates collaboratively in office management, including preparation of operating and program budgets, annual new year startup, data/statistical reports and evaluations, and complex funding applications
  • Serves as a partner in monitoring and assuring that overall office operations are functional, accessible, efficient, compliant, inclusive, and free of conflicts of interest
  • Routinely and thoroughly reviews output, reports, and data for accuracy and compliance
  • Follows established timelines/calendars for projects/tasks
  • Facilitates cooperative and collaborative community and institutional relationships.
  • As needed, serves on and/or oversees various office committees, which may include such functions as communications plan, appeals processes, outreach, personnel, forms and publications, etc.; collaborates with other employees on office committees regarding policy, procedures, and training opportunities; position may also be asked to serve on Enrollment Management and/or University committees
  • Advises senior managers of anomalies, trends, or patterns affecting systems functionality and/or student and program eligibility
  • Maintains effective working relationships and serves as a resource regarding systems and data issues, policies, and procedures
  • Performs other duties as assigned by supervisor and/or Executive Director

Minimum Qualifications
Bachelor’s degree in finance, accounting, economics, or a related field, or equivalency; two years of related experience; basic understanding of accounting principles, analytical techniques, and statistical methods; working knowledge of spreadsheet applications; and demonstrated human relations and effective communication skills required. A familiarity with maintaining and updating computerized databases and experience in higher education financial areas is preferred.

Preferences
Prefer familiarity with maintaining and updating databases, as well as experience in higher education financial areas. Also prefer demonstrated experience using basic analytic techniques and creating consumable reports. Master’s degree preferred.
