Job Description


The Project Manager, Blair School of Music, is a key individual contributor who will advance school priorities and goals of the Dean of the Blair School of Music. This position is responsible for planning, developing, coordinating and tracking the day-to-day administrative and operational activities of high-level projects and for providing support on strategic initiatives as part of the leadership team within the Blair School of Music at Vanderbilt University. The position will provide organization for both day-to-day tasks and assignments while also managing longer-term projects related specifically to the Dean.


Reporting directly to the Dean of the Blair School of Music, this position does not have supervisory responsibility. This role requires strong project management skills, high levels of professionalism, strong writing skills, a relationship-building mentality, and the ability to excel in a fast-paced, evolving, and deadline driven environment. The Project Manager will generate a high volume of written material, conceive, initiate, and produce qualitative and quantitative research, and exercise independent judgment and leadership. As a representative of the Dean, the Project Manager will liaise with a range of university constituents, including senior management, the Office of Development, faculty, students, parents, and the public. The project manager will regularly interact with other members of the Blair School leadership team and top-level leaders across the university.


Situated on Vanderbilt Campus in the heart of Nashville, TN, the Blair School of Music is a vibrant and fast-paced school at Vanderbilt University , focused on the personal and professional education of highly talented young musicians who demonstrate an exceptional capacity and motivation to shape our increasingly diverse and complex global century—through music , with music, and in music. The school has 140 full and part-time faculty members and industry professionals who teach approximately 220 music majors, 650 Blair Academy students (comprised of pre-college and adult students ) and 2,000 non-music Vanderbilt majors.

Duties and Responsibilities:


  • Develop metrics for tracking and evaluating projects as needed.
  • Provide overall support as needed and assigned for department priorities.
  • Design and develop effective communication for the Dean, including speeches, talking points, and briefings.
  • Handle confidential information that could have an immediate, negative impact on the university if shared beyond its intended audience.
  • Efficiently and effectively manage multiple, complex and results-oriented projects with both quick turn-around requirements and long lead times.
  • Planning, management and coordination of projects that are specific to university executives, from large institution-wide projects to smaller, complex, audience-specific projects.
  • Track ongoing projects and initiatives for the Dean to regularly provide a view of the projects and tasks in progress.
  • Manage day-to-day projects and project details for the Dean, including ensuring that deliverables are in progress, on target and on schedule.
  • Adhere to confidentiality and business ethics; demonstrate outstanding judgment and discretion.
  • Demonstrate understanding of the university's mission, values, goals and priorities and an ability to ensure that all are considered in developing communications strategies.
  • Maintain fluency in current and ongoing executive leadership developments in higher education and beyond.
  • Compile daily items for review by the Dean and ensure that all approvals have been secured as needed; share updates on approvals with team members as needed.
  • Communicate and collaborate effectively with a wide range of audiences-including students, faculty, leadership, staff, alumni and vendors.
  • Operate in a highly organized fashion with attention to detail on all projects.
  • Analyze and interpret data and information and make appropriate recommendations based on findings.
  • Serve as the Dean’s project manager, moving projects from inception to completion in a timely manner. The work will require in depth qualitative and quantitative analysis, independent research, and the proposal of resolutions or conclusions for the Dean’s consideration.
  • Perform other relevant duties as assigned.
  • Meet all deadlines to allow for ample review time for Blair School leadership.
  • Demonstrate a high level of comfort with project management tools such as Trello.


Qualifications


  • A Bachelor’s degree from an accredited institution of higher education is necessary.
  • Experience managing multiple and varied projects simultaneously in order to meet ambitious deadlines and achieve short- and long-term goals is necessary.
  • Meticulous attention to detail and organization is necessary.
  • Demonstrated ability to interact effectively with high-level, Vanderbilt constituents is necessary.
  • Previous administrative experience with Vanderbilt University or in a private institution of higher education is preferred.
  • At least three years of related work experience in higher education is necessary.
  • Aptitude to prioritize work, multi-task, and meet deadlines in a team-centered, time–constrained environment is necessary.
  • Advanced knowledge of MS Word, Excel, and PowerPoint, and ability to conduct data analysis is necessary.
  • Capacity to work independently, initiating and completing tasks with minimal supervision is necessary.
  • Professionalism, maturity, and experience with the prudent handling of confidential and highly sensitive information is necessary.
