Description of Work Unit


Founded in 1870, Colorado State University is among the nation’s leading research universities and enrolls approximately 32,000 undergraduate, graduate, and professional students. The Division of University Marketing and Communications (MarComm) oversees Marketing and Brand Management, Communications, and Community Affairs and Engagement. MarComm provides central marketing, media and community relations, design, photography, and digital social media to build a strong, compelling and effective brand position for the entire university and its units.


Position Summary


CSU’s Division of University Marketing and Communications (MarComm) is seeking an experienced project coordinator to join our team. If you’re an organized, experienced, multi-tasker with a knack for getting things done, then we want to hear from you! Our team consists of talented, problem solvers with innovative mindsets. We build and advance the University’s brand and help oversee the University’s central marketing campaigns. We’re looking for a project coordinator that will join us in shepherding projects through the creative process, production, and delivery.


This position operates independently using discretion, creativity, and judgement to manage projects from concept to delivery. The Project Coordinator will typically see at least 200 projects per year with varying degrees of complexity and budgets. Demonstrated experience managing projects independently and also as part of an integrated team is a must. While this position qualifies for hybrid/in-office work, it is not a remote position.


Required Job Qualifications


  • Bachelor’s degree from an accredited institution of higher education with a minimum of five years of relevant experience, OR
  • High school diploma (or equivalent) with a minimum of 10 years of relevant experience directly related to the duties of the position.
  • Demonstrated project management experience.
  • Associate’s degree with a minimum of seven years of relevant experience directly related to the duties of the position, OR


Preferred Job Qualifications
  • Ability to work in a fast-paced, dynamic environment with competing deadlines and resources.
  • Working knowledge of Adobe Creative Suite (InDesign, Illustrator, Photoshop, etc.)
  • Demonstrated experience cultivating client relations and providing outstanding customer service.
  • Experience working in higher education.
  • Working knowledge of offset/digital printing production and pre-flight processes, and experience writing printing specifications.
  • Demonstrated proficiency using Microsoft Office (Word, Excel, PowerPoint, Outlook calendaring, Outlook e-mail, etc.)
  • Strong writing, editing, and speaking skills, including presentations to clients.
  • Experience managing vendor relationships.
  • Strong organizational, analytical, and project management skills from design conception through delivery and invoicing.
  • Demonstrated experience meeting deadlines and managing budgets for projects across all media (digital, print, environmental, collateral, etc.)
  • Above average attention to detail and accuracy.
  • Experience providing high-level customer service to diverse populations.

Essential Duties


Job Duty Category Project Management


Duty/Responsibility


  • Collaborate with other work units within the Division of University Marketing and Communications on press releases, informational campaigns, University-wide events.
  • Collaborate with Sr. Project Coordinator to balance incoming project requests with available office resources, partner needs, and University priorities; strategize and develop solutions to challenges as they arise.
  • Using best practices and knowledge of print production, brainstorm with creatives and vendors on most cost-effective way to produce a given project.
  • Recommend methods and strategies to improve or streamline procedures and processes; recommend strategies to enhance the unit’s financial outlook; and recommend technology and equipment improvements as they arise.
  • Conduct cursory pre-flight checks on incoming client design files to ensure trouble-free offset/digital print production.
  • Establish collaborative lead role on projects; serve as a resource to advise and guide clients to compliance of University brand standards; and educate clients on effective creative and production options.
  • Based on knowledge of the print industry, draft precise offset/digital printing specifications for vendors to ensure accurate, timely, competitively-priced, and high quality productions of projects and negotiate with vendors when errors occur. Review bid submissions to ensure price accurately reflects project specifications.
  • Manage projects by establishing schedules; developing estimate documents for clients, developing scope of work for team members; and managing vendor relationships.
  • Other duties as assigned.
  • Collaborate with mail house and campus partner(s) to manage mail distribution, when needed; identify constituent mailing lists when needed; serve as a resource to ensure print collateral meets USPS mailing guidelines; and work through any logistic issues.
  • Edit, review, and comment on communications projects so they adhere to CSU and/or Associated Press writing guidelines.

  • Maintain and exercise professional expertise of communication media and methods. Develop communication formats and concepts once the audience, style and tone of the project is determined.
  • Serve as a resource and point of contact for developing and executing strategic communications solutions that help clients achieve their goals and objectives.
  • Maintain integrity of the University brand and champion its growth and significance among key internal constituents.
  • Facilitate client work sessions and brainstorms to unearth new insights and build consensus amongst working teams.
  • Represent your ideas or the team’s ideas and present them to others.
  • Manage a portfolio of campus partner relationships.
  • Work with the creative team to deliver marketing communications built on these strategies to extend the University brand through its colleges, programs, and units in a way that delivers enrollment, fundraising, and awareness growth.
  • Other duties as assigned.
  • Maintain and exercise professional expertise of communication media and methods to proactively provide solutions to campus partners that meet the aesthetics and marketing communications goals of the project.
