Position Overview


The Project Coordinator assists and supports the Program Manager and Operations Coordinator on large-scale construction projects throughout the US. This position is responsible for tracking project deliverables, dates, monitoring deadlines, and providing regular and timely reports highlighting variances as they arise. This position also assists with daily administrative activities such as meeting minutes, coordination of customer communications, billing and timesheet management. The Project Coordinator assists in planning certain aspects of the project, monitoring its progress, coordinating with teams, and communication with subcontractors on an as-needed basis. This position reports directly to the Operations Coordinator.


Duties & Responsibilities


  • Other projects or duties as assigned
  • Oversee completion of all processes needed in Procore to track complaints, damage claims, and cleanups and contact customers to provide updates
  • Prepare and edit numerous simple and complex letters, reports and spreadsheets which may include construction project status reports, running queries, workflow reports, schedules, estimates, budgets, etc.
  • Act as liaison between Field Office and Corporate Office to include, client billing, vendor payments, timesheet management
  • Coordinate project submittals and process change orders
  • Train contractors in the systems (Procore, OX, AirTable, etc) and then monitor activity for consistent and accurate use
  • Maintain and monitor project files, plans, schedules, work hours, budgets, and expenditures
  • Provide administrative support, maintain tracking reports for all areas and phases of project
  • Manage customer complaints and damage claims to adhere to client requirements
  • Monitor and complete forms, training for Safety Program and OSHA inspections and reporting
  • Conduct industry and project-related research, maintain databases, reconcile data and resolve discrepancies
  • Track supply levels and submit purchasing recommendations to project managers weekly
  • Maintain project contract records and enter daily update into project management tracking system
  • Oversee 811 Miss dig systems reporting and compile data collection
  • Analyze project risks and opportunities, work with program managers to eliminate obstacles
  • Must be an expert with Excel
  • Assist with OX/Procore design and updates
  • Coordinate subcontractor relationships and billing under the direction of the Program Manager & Operations Coordinator
  • Capture meeting minutes, documenting and following-up on important actions and decisions


Requirements


  • Knowledge of forecasting and budget tools
  • Basic Math skills and data entry skills
  • Exceptional verbal, written, and presentation skills with impeccable attention to detail
  • Outstanding organizational and communication skills
  • Experience with telecommunications preferred
  • Experience with AirTable preferred
  • Must have expert knowledge of excel
  • Ability to work on tight deadlines; excellent time management skills are essential
  • Ability to work effectively both independently and as part of a team in a fast paced and rapidly changing environment
  • Competency in Microsoft and G-Suite applications
  • High school diploma or equivalent required; Bachelor's degree in business or related field preferred


Physical Requirements


  • Must be able to lift up to 15 pounds at times
  • May experience long hours of standing and moving
  • Prolonged periods sitting at a desk and working on a computer
