Project Coordinator
The commercial construction division of our company is looking to add a new team member to assistthe Director and be in charge of setting up and closing out our construction contracts! The commercial construction division furnishes and installs doors, frames, hardware, access control systems, Overhead Doors, and more for construction projects throughout the state.Our projects can range in size from a few openings up to 2000+ and are a mixture of renovations and completely new buildings.
The ideal Project Coordinator is a highly organized critical thinker with a desire to learn the construction industry. The ability to stay focused and have a keen attention to detail are required when dealing with legal documents, multiple projects, and hundreds of pages of contract documents for each project. We stay busy all year and every team member is critical to the proper functioning of our hard-working team.
Summary of responsibilities
The Project Coordinator duties are comprised of two main facets. These are:
Contract set up / closeout
oDownload and print the correct blueprints, specifications, addenda, and other project documents from various project share sites
oCombine addenda and other change documents into a single current .pdf
oCompile project documents into job binders
oCommunicate with general contractors to obtain necessary information including billing requirements, construction schedules, contact information, and other project information
oCommunicate with the rest of the team on projects that have unique requirements, tight timelines, or that need special attention
oProcess certificates of insurance, schedule of values, bond information, and other required documentation
oReview project contracts and purchase orders for scope and language
Assist the Director of our Contracts Division
oAssist in the preparation of bid proposals in conjunction with the estimating team
oDownload and print project manuals, blueprints, and other contract documents for estimates
oProcess change orders
oSubmit pre-qualification data and other reporting as needed
oMaintain an accurate and up-to-date task list
oMaintain multiple weekly, monthly, and quarterly reports using Excel formulas and templates
oAssist the Director on the projects he is managing, including releasing material to purchasing, following up on material status, and billing as required
oCross train in order to support the Director’s Assistant Project manager when they are out of office
oAssist in the launch of a new industry-related software system and subsequent company-wide training.
oOther duties and projects as assigned

oProficiency in Microsoft Office suite and Adobe Standard

oStrong organizational skills and attention to detail
oCritical thinking and problem-solving skills

oExceptional communication skills
oWorking knowledge of basic standard business practices
oDue to the nature of our business, the successful applicant will be required to pass a drug test and background check prior to employment.
Preferred Qualifications
oExperience in the commercial construction industry
oThe ability to read and understand architectural plans and specifications
oThe ability to read and understand contract documents and language
