What We Expect… (Essential Functions)
This position will provide technical and administrative support to project teams by accomplishing the following duties
  • Processes technical product and shop drawing submittals electronically.
  • Other duties as assigned.
  • Coordinates, arranges, and schedules meetings in conjunction with the PM. Greets visitors and provides hosting duties. Reserves and prepares the facility for meetings, including meals, snacks and beverages for the duration.
  • Maintains all project logs, utilizing Word documents and Excel spreadsheets, including requests for information, proposal requests, change orders, subcontracts, LOI’s and PCD’s, etc . Follows up consistently on outstanding documents and action items, including subcontractor and contract related documents and correspondence for incorporation into project files.
  • Assists in the coordination and preparation of monthly project progress reports.
  • Manages selected limited scope projects.
  • Coordinates/assists in proposal preparation and bid package solicitation and filing.
  • Compiles Operation and Maintenance manuals at project closeout and ensures record drawings are saved. Makes sure that project files are archived according to Company policy.
  • Assist field operations with tracking toolbox talks, daily reports, safety audits, and QA/QC audits.
  • Coordinates activities for project starts for field office setup.
  • Attends project meetings as required. Produces and distributes meeting minutes.
  • Develops draft schedules and updates project schedules.
  • Assist preconstruction in searching for new subs and vendors.
  • Prepares quantity take-offs, assists on cost estimates and prepares scopes of work for review.
  • Assist preconstruction in managing bid solicitation software and subcontractor database.
  • Maintain inventory and order safety supplies for field operations.
  • Updates unit costs for materials and equipment in the estimating database
  • Organizes and maintains file system including construction drawing, and file correspondence and other records electronically and in paper files. Prepares project-related correspondence, letter, memo or email.
  • Meets time sensitive deadlines with accuracy while maintaining a high degree of customer service.
Qualifications

  • Must possess basic computer skills; proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience in computerized scheduling systems such as Microsoft Project. AutoCAD , SketchUp skill is a plus. The selected candidate should have an attention to detail; strong organizational skills; an ability to multitask and to work independently; and have excellent communication skills – both written and oral. Must be physically present in the Versailles office.
  • The successful candidate will have an Associate’s degree or five (5) years of experience in an administrative position(s); or the equivalent combination of both. Experience in construction or engineering firm is highly preferred.
