Job Description

As a Project Assistant, you will provide administrative support and assist in the coordination and management of projects within the organization. You will work closely with project managers and team members to ensure projects are executed efficiently and successfully. The ideal candidate is organized, detail-oriented, and possesses strong communication skills.


Responsibilities:


  • Maintain project files and records, ensuring they are up to date and easily accessible.
  • Assist in the planning, coordination, and execution of projects.
  • Track project expenses and maintain budget records.
  • Maintain confidentiality of sensitive project information and handle it with discretion.
  • Monitor project progress and identify any issues or delays, reporting them to the project manager.
  • Coordinate meetings, conferences, and project-related events.
  • Assist in conducting research and gathering data for project-related tasks.
  • Prepare project documentation, including project plans, schedules, and status reports.
  • Collaborate with cross-functional teams to ensure smooth project execution.
  • Take meeting minutes and distribute them to attendees.
  • Assist in the preparation of presentations and reports.
  • Help ensure project deadlines are met by following up on assigned tasks and deliverables.
  • Contribute to process improvement initiatives to enhance project efficiency and effectiveness.
  • Provide administrative support to project managers and team members.
  • Liaise with stakeholders and team members to gather project information and updates.

Requirements:

  • Ability to work collaboratively in a team environment.
  • High school diploma or equivalent; bachelor's degree preferred.
  • Proven experience in administrative support or project coordination.
  • Effective communication and interpersonal skills.
  • Excellent attention to detail and accuracy.
  • Proficient in using project management tools and software.
  • Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proactive problem-solving abilities.
  • Ability to maintain confidentiality and handle sensitive information.
