Job Description
The Project Administrator – Complex Projects is responsible for the management of the flow of information from the beginning of the order acceptance process through the entire project lifecycle and handover to customer. Tasks included are order approval process, order compliance and scheduling, billing, purchase orders, and reporting, along with other tasks deemed necessary for successful project execution.


Essential Functions:


  • Coordinates with customers on contract documentation including tax documents, purchase orders, and general information
  • Works with Project Manager and assists in forecasting of projects
  • Processes invoices and validates according to project contract documentation
  • Prepares invoices for billing and any additional documentation required for billing purposes
  • Reviews status reports prepared by project members and modifies schedules or plans as required. Prepares project reports
  • Initiates, processes, and tracks progress of contracting claims
  • Initiates documents for purchase orders, subcontracts, and change orders
  • Gathers and records information to assist with process compliance monitoring
  • Assists Project Managers with the preparation of submittals and operational/maintenance manuals


Additional Responsibilities:


  • Coordinates project activities of government regulatory or other governmental agencies
  • Creates warranty claims for missing or damaged materials at job site
  • Creates and/or coordinates the final layout drawing package and insures 100% conformity between all documents including estimates, abstracts, layouts, and contractual requirements
  • Additional duties as assigned


Requirements


  • 5-8 years of relevant experience
  • Intermediate to advanced computer literacy, including experience with ERP / IT systems – Dynamics AX experience preferred
  • Ability to work independently, take initiative, manage priorities, and see projects through to completion
  • Prior experience supporting construction and field employee groups, including strong problem-solving skills, critical thinking, and self-initiative
  • Proficient with Microsoft Office Suite
