About The Opportunity
- Work with faculty and staff to develop corporate learning program materials and assets.
- Independently responsible for project-based prioritization to meet program deadlines for multiple programs simultaneously.
- Conduct research and analysis of operational facets of in-person programs (e.g., classroom space, catering, travel and accommodations, etc.).
- Manage vendor relationships, negotiating terms as needed.
- Analyze and report on project health with recommendations to the lead project Director to increase efficiency and effectiveness of processes.
- Work with vendors locally and internationally for venue set up, program dinners and social events, transportation for site visits and any other tasks relating to program delivery both locally in the US as well as international settings.
- Utilize technology to streamline delivery of program deliverables including database management and online applications.
- Identify and schedule deliverables, milestones and required tasks for each stage of a program development cycle.
- Ensure that internal and external stakeholders are kept up to date on progress and meeting expected deadlines to support program development.
- Arrange for travel accommodations for local and international travel.
- Delegate tasks to graduate program assistants and manage related workflows.
- Maintain accurate and complete program documentation (including delivery schedules) on all assigned programs, to ensure smooth delivery of future programs.
- Develop and disseminate regular communications to participants and other stakeholder groups for assigned programs.
- Assist in the creation of general program materials to aid in marketing to future participants, curriculum development, etc.
- Manage “on-site” program coordination for live virtual/online, on-campus or off-site program implementations (travel may be required).
- Prepare and manage evaluations and program status reports.
- Prepare faculty payroll, invoices, and expenses for assigned programs.
- Support the maintenance and monitoring of budgets for assigned programs.
- Maintain highest level of customer service and response to stakeholder needs.
- Regularly attend meetings with faculty and clients as needed for program and project success.
- Collaborate to create meeting agendas and document follow-up tasks.
- Establish and maintain relationships with faculty, clients, participants, venue staff and vendors.
- Organize and prepare materials to support reporting, proposal submission, and client development.
- Develop and maintain templates and manuals for program implementation.
- Take-on other projects assigned by the Associate Director to build capacity and contribute to the Program Manager’s professional development.
- Contribute to the department’s strategic planning activities.
- Support the hiring and onboarding process for graduate program assistants and other team members.
- Be able to travel locally and internationally as the program deliveries require.
- Strong ability to interact with various faculty and university administrators
- Ability to prepare and handle confidential documents and sensitive information.
- Proficiency with Microsoft products such as Outlook, PowerPoint, Word, Excel, SharePoint, and Teams, and as well as the ability to quickly learn new software and web-based programs.
- Must be flexible and have the willingness to work early mornings and evenings both on and off campus locations – as needed.
- Ability to work independently, coordinating, and prioritizing multiple projects simultaneously while exercising sound judgment.
- Bachelor’s degree in Business administration or any related fields
- 3+ years of experience as a project, program, and/or event manager working on executive education, launching new initiatives, and/or large-scale programs.
- Possess excellent interpersonal, oral, and written communication skills
- Strong negotiation and problem-solving skills.
- Demonstrated ability to form and operationalize short- and long-term program and project plans.
- Experience in project management strategies and tools (e.g., Smartsheets).
- Higher education or adult learning experience.
- Proficiency in design and revision of high-quality program materials, including use of Articulate Rise, Canvas or H5P all used in the practice.
- Fluency & comfort managing and working in a live virtual classroom setting.
