Saint Joseph’s Arts Foundation (“SJAF”)
Program Coordinator
Full-time exempt position with benefits
The Program Coordinator supports arts and cultural programming as it relates to Saint Joseph’s Arts Foundation. This position offers an excellent opportunity to develop arts administration and programming skills. The Program Coordinator will work directly with the Foundation Director and the Saint Joseph’s team to create, promote, execute, and manage year-round, multi-disciplinary arts programming and events across three locations in San Francisco, Healdsburg, and Provincetown, MA. The Coordinator will also support the Director with the administration related to the Board of Directors and other administrative tasks. The ideal candidate should be a quick and intuitive learner who is interested in joining an extremely fast-paced events driven organization.
RESPONSIBILITIES:
Tours and Guest Relations - SF Location
- Manage the Saint Joseph’s general information email account
- Prepare and maintain materials for all private and self-guided tours of the SF location including current exhibitions
- Schedule and maintain public tours
- Lead tours at the SF location, including current exhibitions
- Manage general guest list
- Greet all visitors and guests
Exhibition and Program Coordination
- Coordinates all shipping and receiving of artwork and programming related material
- Coordinates all installation and deinstallation of visual arts exhibitions
- Creates and maintains all condition reports for art and related materials and equipment
- Works directly with participating artists in preparation of public programming
- Assists with outreach and communication for all events
Arts Programming Archive and Database
- Work with the Foundation Director on maintaining and updating the membership database and email lists
- Maintain SJAF Programming digital archive
- Maintain ArtLogic arts inventories
- Manage the production and maintenance of video and images of all programming in all locations
- Produce weekly and monthly reports documenting current, lapsed and potential members
Arts Programming and Administration
- Maintain and track communication with participating artists and arts organization
- Assist with preparing and collecting invoices, expense and payable reports
- Work with Foundation Director as needed to produce programming and events including but not limited to; working with vendors to secure needed equipment for the event, managing RSVP and guest lists, setting and cleaning up equipment, technology, chairs and artist materials, staffing the program or event, interacting with visitors and guests.
- Assist Foundation Director in researching and seeking out arts organizations and artists for programming and events at all three SJAF locations
- Under the Foundation Director supervision, process invoices for stipend payments
- Prepare and distribute all contracts and related materials for artists and partnering organizations.
- Schedule and organize meetings with partner organizations and maintain agendas, as needed
Administration for Board of Directors and Fundraising
- Take minutes at board meetings
- Work with Foundation Director to set board and board committee meetings.
- Maintain an organized archive of all board materials and distribute any requested materials to board members as needed
- Work with Foundation Director to research and prepare material for foundation and grant applications
- Prepare the presentation materials, agendas and distribute them to the board members in a timely manner.
- Work with Foundation Director to implement membership and development goals throughout the year.
REQUIREMENTS:
Qualifications
- Time-management and organizational skills
- Ability to work with diverse and multi-disciplinary teams
- Strong verbal and written communication skills
- Open to learning new skills
- General knowledge of non-profit gallery operations
- Bachelor’s degree in an arts related field required
- Working knowledge of Adobe Creative Suite, MailChimp, eTapestry (or similar development software program) preferred
- Knowledge of local and national contemporary arts communities
Physical/Mental Demands
- Must be able to sit, stand and walk for extended periods
- Must be able occasionally to lift and carry boxes of up to 20 lbs.
Job Details:
- Location: 1401 Howard Street, SF, CA , with occasional meetings at a close by offsite location

COMPENSATION:
Position is full time and based in San Francisco.
Compensation is $65,000 - $70,000 based on experience level.

Monday - Friday
Schedule includes evenings and weekends as needed
Schedule is subject to change based on the needs of the company, and may include holidays
