Position Focus:

Reporting to the Associate Director and Program Manager of International Development, the Program Coordinator provides comprehensive and high-level writing, research, data analysis, administrative, event planning, and project coordination support to frontline gift officers on the international development team, to advance their mission to cultivate, solicit and steward international donors and prospects. Responsibilities include: drafting a wide variety of written materials, including comprehensive individual donor briefings, gift proposals, stewardship reports, and internal and external correspondence that conforms to the style and voice of the sender; conducting research on individuals, corporations, foundations, and institutions; designing, developing, and producing ad hoc reports and analyses through database queries and Excel report manipulation, utilizing our primary Blackbaud database; coordinating regional and international events including compiling and maintaining attendance lists, extending invitations, and confirming attendance; preparing complex expense reports; data entry; making travel arrangements; coordinating logistics and itineraries for campus visits; drafting and assisting with various communications including responses to gift inquiries; ensuring the accuracy of all information relayed to prospects and donors as well as the accuracy of data on university and departmental databases; and serving as an internal liaison for gift officers to other departments as necessary.

Essential Duties

1. Drafts a variety of written materials, including detailed individual prospect briefings and endowed gift agreements, proposals in support of specific University initiatives and internal and external correspondence that conforms to the style and voice of the sender. 2. Coordinates research on individual donors and the history and status of gift commitments as needed by gift officers and other University officials. Ensures the accuracy of gift acknowledgments and all information communicated to donors and prospects. 3. Prepares reports on prospect pools summarizing giving, status, affiliation and other data points, as needed. 4. Assists in the coordination of special events, including dedications, donor recognition events and celebration of special initiatives to ensure timely and successful completion of the proceedings. 5. Designs and produces ad hoc reports based on data extracted from primary databases to support fund raising programs. 6. Oversees stewardship functions to ensure that donors receive ongoing communication regarding the benefits of their gifts to Yale. 7. Supports fundraising directors and gift officers in a range of additional activities related to the University’s development effort, as needed. 8. May perform other duties as assigned.

Required Education and Experience

Six years of related work experience, four of them in the same job family at the next lower level and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.

Required Skill/Ability 1:

Exceptional communication skills with special emphasis on writing ability and editing. Demonstrated research abilities. Writing sample required at time of interview.

Required Skill/Ability 2:

Strong attention to detail, including identifying and errors in data and analyzing large volumes of information from disparate sources and synthesizing it in cogent and concise written form. Advanced knowledge of MS Word, Excel, database software and reporting, and the ability to conduct data analysis. Knowledge of PowerPoint and Adobe Acrobat.

Required Skill/Ability 3:

Professionalism, maturity, and an ability to maintain strict confidentiality and to interact with top level donors and Yale administrators.

Required Skill/Ability 4:

Strong organizational skills. Ability to prioritize work, multi-task, especially on projects, prospects, and proposals in different parts of the world, and meet deadlines in a team-centered, time-constrained environment. Ability to initiate and see tasks through with minimal supervision.

Required Skill/Ability 5:

Commitment to an inclusive workplace. Ability to engage with diverse audiences (age, gender, nationality, race/ethnicity, profession, sexual orientation, etc.). Comfort working with foreign names/addresses and communicating with individuals in other countries.

Preferred Education, Experience and Skills:

Experience in a university setting or other large, complex organization. Experience with development work; familiarity with Yale. Global orientation, experience working across countries and regions, and proficiency in more than one language.
