Job Description
What You Will Do
The Professional Staff Assistant 2 (PSA-2) will serve as the point of contact for the Senior Project Execution Director Office in ALDPI, interacting daily with the Senior Director and the organizations within the ALDPI directorate, as well as internal and external to the Laboratory. The PSA 2 is responsible for providing expert-level support to the management teams and will maintain a professional office atmosphere and assume responsibility with minimal supervision, demonstrating accuracy and attention to detail, initiative, versatility, tact, and confidentiality in all matters. The successful candidate must be a motivated performer capable of changing focus quickly, acting independently, and comfortable with a broadly defined scope of work.
Work is conducted in a busy, fast-paced team environment that requires close cooperation, adaptability, taking initiative in completing tasks, and a willingness to provide support where needed. Some example job duties include:
  • Assist in tracking and reporting progress toward business, operational, and/or programmatic goals and objectives.
  • Development of special reports, presentations, correspondence, and other documents as required.
  • Ensuring consistency and standardization of administrative activities and support effort across the Division.
  • Ability to coordinate and manage multiple complex calendars.
  • Provide comprehensive organizational and logistical support including organizing activities and preparing materials for many special, high-level visits and periodic reviews required for parent company reviews, tours, interactions with government dignitaries, and Federal Program Managers.

What You Need
Minimum Job Requirements:
  • Demonstrated experience independently responding to requests (often with short response time) by doing research and providing accurate information as required.
  • Demonstrated ability to organize, prioritize, and take initiative and ownership of multiple and conflicting complex issues in a manner that fosters institutional values and customer satisfaction.
  • Advanced knowledge and experience with computer software applications (Word, Excel, Outlook, PowerPoint, etc.).
  • Demonstrated experience making sound decisions regarding appropriate disposition of correspondence; receiving, transmitting, and safeguarding sensitive information; composing, preparing, and editing routine and non-routine correspondence and reports.
  • Demonstrated experience making decisions and resolving problems both independently and as a team member.
  • Demonstrated exceptional written and oral communication skills, with demonstrated professionalism in interactions with various high-level stakeholders and customers (i.e., Federal Program Sponsors, senior LANL management team, various organizations throughout LANL).
  • Demonstrated ability and experience in the preparation of reports, planning documents, presentations, capturing meeting minutes and action items.
  • Proven success working independently and as a contributing member of a team and the willingness to provide support wherever needed in a fast-paced, customer service-oriented office.
  • Demonstrated ability to plan and coordinate logistics for meetings and events, including preparation of materials.

Education/Experience: Position typically requires a bachelor's degree and a minimum of 5 years related experience, or an equivalent combination of education and experience.
Desired Qualifications:
  • Knowledge of the Laboratory organizational structure, administrative policies, and procedures; including Laboratory visitor and affiliate programs.
  • Active DOE Q Clearance.
  • Proficiency in Lab-wide administrative systems (Oracle, Time and Labor, Concur, Ariba, etc.).
  • Ability to coordinate finished written and/or presentation materials using inputs from a variety of program sources.
  • Designated Procurement Representative (DPR) experience.

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.
Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details
Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.
No Clearance: Position does not require a security clearance. Selected candidates will be subject to drug testing and other pre-employment background checks.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
