Job Description

POSITION PURPOSE

Under general supervision of the Chief Operating Officer, the Practice Administrator partners with the Providers, Clinic Staff, and Hospital Administration to evaluate processes, create and implement improvement plans, and measure output of improvement efforts. Responsible for day to day operating activities of the clinics as well as ongoing development and improvement projects. Contributes to a patient-centric and customer-focused environment where teamwork is emphasized and the needs of the patients come first.

QUALIFICATIONS

Education: Bachelor’s degree in Healthcare, Business or related field required. Master’s degree preferred.

Experience: Three to five years of relevant experience and prior supervisory experience required.

License/Certification: None required.

Required Skills: Strong interpersonal skills, personal work ethic and high degree of personal integrity. Ability to communicate effectively, verbally and in writing. Ability to work independently, prioritize, handle multiple projects and tasks, with attention to detail. Ability to develop and maintain effective working relationships with executives, physicians, staff and the public. Ability to negotiate and operationalize physician employment agreements and other service contracts. Ability to manage efficient clinic operations that integrate with EMR processes. Ability to grow clinic volumes through business development tactics and strategies.

LATITUDE, CONTACTS/INTERACTIONS

All positions of Huntsville Memorial Hospital are part of an interdisciplinary team, and as such, participate in the care and service delivery process through effective interaction with other team members. Primarily interacts with clinic and hospital staff, medical staff, patients, and visitors.

PHYSICAL DEMANDS AND WORKING CONDITIONS

Frequent: sitting, standing, walking, & reaching.

Occasional: lifting, carrying, bending, & squatting,

Visual and hearing acuity required. Work is inside, with good ventilation and comfortable temperature.

Possible exposure to: toxic/caustic chemicals or detergents, communicable diseases, blood-borne pathogens.

ESSENTIAL JOB FUNCTIONS

  • Ensures integration of the department(s) into the primary functions of the organization. Creates a collaborative, productive work environment through positive relationships with senior leadership, other directors, providers, employees, patients/families and the community.
  • Ensures compliance with all regulatory requirements and maintain survey readiness.
  • Develops and implements appropriate policies and procedures.
  • Plans, directs and supervises all aspects of care provided by the clinical staff. Helps to create clinic process flows that ensure optimal outcomes for access to care, clinical documentation, and patient safety.
  • Establishes work schedules and assignments to ensure coverage based upon volume.
  • Ensures completion of all employee records including but not limited to: payroll, performance evaluations, competencies, personnel action requests etc.
  • Ensures initial orientation and continuing education opportunities are presented appropriately for all department staff.
  • Coordinates and participates in the development, implementation and evaluation of quality improvement processes for the department(s). Maintains quality control programs, as appropriate.
  • Participates in the budget planning process by making recommendations for resources, including personnel, equipment and space as appropriate. Manages practice by improving utilization of resources, and maintaining practice efficiency while seeking to minimize operational costs
  • Provides 24 hour accountability of leadership by appropriate delegation, using sound decision-making and critical thinking skills.
  • Recognizes and acts on opportunities for growth and improvement. Translates goals into departmental specific objectives and priorities.
  • Analyzes data (including clinical volumes, provider productivity, clinic visit time studies, patient satisfaction, and revenue cycle) to continually enhance performance and positively effecting clinical outcomes and patient satisfaction.
  • Comprehends key performance indicators that include: no show/late cancelation rate, phone call lag time, space utilization, provider investment of time and schedule utilization, wRVU targets, and coding patterns per provider.
  • Addresses patient complaints timely, demonstrating adaptability, problem-solving and professional behavior at all times.
  • Abides by the HMH Legal Compliance Code of Conduct.
  • Maintains patient confidentiality and appropriate handling of PHI.
  • Maintains a safe work environment and reports safety concerns appropriately.
  • Performs all other related duties as assigned.
