The City of Maple Valley’s Community Development Department seeks to hire a
Permit Coordinator (Administrative Assistant III)
This position primarily provides day-to-day operational support for the Community Development and Public Works Departments. The Permit Coordinator acts as a liaison between customers, City employees and other department representatives, requires knowledge of permit applications, requirements and fees, development regulations, land use, right of way, capital improvement project submittals and the status of major development projects. Duties also include serving as the clerk for the Planning Commission and attendance at the night meetings and performing the duties of a cashier for end of day deposits related to permits. This position requires considerable initiative and use of discretion and independent judgment in dealing with highly sensitive and confidential matters.
In addition to other responsibilities the Permit Coordinator will:
- Plans and coordinates CD/PW department administrative functions. Composes, types and edits correspondence and reports on a variety of matters from notes, rough drafts, verbal instructions, files, project materials or self-initiative, requiring judgement as to content, accuracy, and completeness
- Provide and receive information concerning submittals, assists with review of submittals for completeness and all required submittal documents, assesses applicable fee(s), and routes through the permitting software to appropriate department(s) or other agencies/jurisdictions for processing
- Provides invoice verification and coding to Project Managers as per the City’s financial software, reviewing and providing written responses to Public Works service requests in coordination with the Infrastructure Manager, and other duties as assigned
- Serves as the Clerk for the Planning Commission which requires attendance of night meetings, assembling agendas and minutes for the Planning Commission, distribution of the Commission agenda and meeting notes, and coordinating joint commission meetings
- Assist external and internal customers with issues related to land use and zoning, basic building codes, permit application completion and other various requirements
- Serve as one of the system administrators for the City’s permit tracking software, and follows prescribed workflow steps to ensure timely processing
- Be responsible for executing Community Development and Public Works permitting and administrative processes
- Prepares and/or assists with written and oral reports requiring research and analysis of statistical data, field studies, surveys and maps
- Serves as the Community Development and Public Works cashier by completing daily deposit tracking in the City’s permitting and financial tracking software and ensures accuracy of deposit entries
- Provide progress on status of permit applications; follows up on delays to determine problems as well as communicates disposition or necessary remedial action required of applicant/owner and/or City project manager
- Explain information and collects a variety of data, tracks permits and communicates permit status and readiness to applicants
Education, Skills & Experience Requirements:

- Familiarity with the adopted Development Fee Schedule, regulations in the Maple Valley Municipal Code, and policies in the City’s Comprehensive Plan
- Two (2) years of experience in administrative and/or financial operations
- Two (2) years of experience providing customer service to the general public
- Certified Permit Technician through the Washington Association of Permit Technicians or able to obtain certification within one year of hire
- Knowledge and experience with permit and financial tracking software.The City currently uses OpenGov for permit tracking and Tyler Incode as our financial software
- Understanding of the building construction and plan review permitting process including permit intake, permit review, inspections, and permit fees
This is a full-time FLSA exempt position. The salary range is $79,896-$101,095 + competitive benefits to include:
