Role Summary

Communication is the success of any Resort. Through phone, text and email, our Operators will communicate with our guests to obtain guest information, preferences and book dining reservations, spa reservations, special programming and off-site experiences etc. The Operator will manage all internal communication through specific resort channels as well as act as the interim between guests and the resort outlets. Join our team and become one of the authors of our story. PBX position will start in January.

Responsibilities

Key responsibilities for this position are:

• Work closely with all departments and Resort Outlets to ensure effective communication and distribution of information.
• Assist in In Room Dining orders over the phone
• General info, descriptions, and directions for local services, restaurants, skiing, hiking and other points of interest.
• Create a genuine, informative, and personalized guest experience.
• Help coordinate and execute all guest requests in a timely manner.
• Accurately input guest contact information. Add information to guest history such as; previous stay experience, special occasions, preferences, and other pertinent information.
• Run audits on all programming, dining, spa, and experiences happening the following day to ensure accuracy.
• Arrange last minute guest requests, out of house reservations and member bookings.
• Directions to/from the property to/from airports, towns, entertainment, and other major landmarks
• All unit types, layout, décor, attributes and locations
• Entertainment/special events scheduled on the property and in the area
• Maintain complete knowledge of property and other information including the following:
• Answer calls within 3 rings, transfer calls, take messages when necessary.
• Assist and ensure effective guest incident resolution. Work closely with fellow guest service associates and other departments to resolve any challenges; ensure follow-through and exceed guest expectations, surprising and delighting guests whenever possible.
• Use the guest’s name whenever possible and appropriate.
• All property facilities/services offered and hours of operation

Required Qualifications

• Ability to think critically and solve problems as they arise
• Ability to work cohesively with other departments and individuals as part of a team
• Ability to handle multiple tasks at the same time seamlessly including operating computer systems, internal guest requests and outgoing guest communication
• Basic computer knowledge
• A genuine affinity for interacting with guests and team members alike
• Ability to maintain confidentiality of guest information and designated resort data.
• Able to work on a flexible schedule, including weekends and holidays, according to department needs
• Ability to be a clear thinker and remain calm under pressure
• Familiarity with Los Olivos and Santa Ynez area, its geography, recreation, restaurants, events, sights and other attractions

Preferred Qualifications

• Proficiency in Property Management Systems
• Proficiency in Gmail and G-Suite
• Minimum 2 years as a PBX or Guest Services associate

$20.00/hour
