Job Description

NFPA is seeking an experienced Payroll Coordinator. You are responsible for coordinating and administering activities related to NFPA’s HRIS Human Resource Information System (HRIS), including but not limited to generating accurate payroll, timely expense reporting and producing precise routine/specialized reports along with maintaining the highest standards, controls, and security. It is critical that you have a solid understanding of statutory/regulatory rules alongside a strong proficiency in web-based employee systems management. PRINCIPAL RESPONSIBILITIES:

• Accountable for all payroll and time tracking reporting, auditing, and establishing controls as needed.

• Execute proper reporting and funding of payroll, taxes, and withholdings for each payroll cycle

• Provide exceptional customer service to employees and resolve their inquiries in a timely and professional manner

• Responsible for tax items such as registrations, tax notices and tax file changes

• Manages time keeping requirements and collaborates with Paylocity for configurations.

• Prepare and enter month-end accounting entries

• Reconciling 403(b) withholding and Deferred Compensation, accrued payroll, and other accrued compensation

• Responsible for reconciliation of payroll to GL accounts

• Oversee payroll compliance matters such as multi-jurisdiction tax withholding, garnishments, and key annual audits (e.g. 403(b) audit, worker’s compensation, external financial audit)

• Performs system review of employee payroll related changes performed by HR

• Processes involuntary terminations and produces off-cycle payments, as needed

• Assist with special ad-hoc reports, department, and compliance audits as needed

• Processes repayments and other payroll adjustments

• Process deposits of checks as needed which includes maintaining control worksheets, preparing and posting journal entries

• Partner with other team members and maintain accounts receivable systems, while collaborating with cross functional groups, such as Credit and Collections team

• Responsible for processing weekly expense reports and adding/updating employee profiles in Concur

• Makes recommendations for system and/or process changes, as applicable

• Participate in system testing and implementations

• Assumes additional duties and projects as assigned


REQUIREMENTS:

Bachelor’s degree in accounting, finance, or similar field of study PLUS 4-6 years of payroll processing

• End-to-end payroll processing experience is a plus

• Experience with Paylocity

• Experience with NetSuite is a plus

• Ability to manage multiple projects, assignments in a demanding environment

• Must have strong interpersonal skills with all levels of management, staff, outside vendors and consultants

• Intermediate-Advanced knowledge of Microsoft Word and Excel (including use of Pivot Tables/Charts, VLOOKUP, and other advanced functions)
